Job Summary

This role is for someone who sees a vision and instinctively starts building the road to get there. At its core, this is a role about execution — taking the Director’s vision and making it reality.

Friendship Circle is a mission-driven nonprofit seeking a highly organized, proactive, and execution-focused Director’s Implementation Coordinator to help bring our leadership’s vision to life — across programs, major events, donor initiatives, and organizational operations.

You will work directly with the Director, serving as the connection between big ideas and real-world results. This means managing complex, multi-layered projects from concept to completion, coordinating across internal teams and Friendship Circle International, and keeping everything moving with precision and care. Key ResponsibilitiesDirector Support & Vision Execution

  • Provide direct support to the Director, serving as a key partner in executing her vision and day-to-day priorities
  • Organize and manage projects, timelines, and task flow across multiple concurrent initiatives
  • Create slideshow presentations and internal materials
  • Support and help host staff meetings
  • Work seamlessly across all departments within the organization


Friendship Circle International & Events

  • Serve as a primary point of coordination with Friendship Circle International on shared initiatives
  • Oversee organization and tracking of FCM and Friendship Circle International ordering
  • Manage planning and execution of major annual events (galas, donor events, and more)
  • Support additional events throughout the year
  • Oversee event logistics, preparation, and day-of execution
  • Coordinate vendors, talent, and catering


Donor & Gift Coordination

  • Manage ordering, timelines, and execution of donor and holiday gifts
  • Support donor deliveries as needed
  • Manage vendor relationships and ordering in support of donor and gift initiatives


Staff Appreciation & Creative Execution

  • Coordinate employee anniversaries and appreciation initiatives
  • Support staff parties and celebrations
  • Assist with conceptual planning and hands-on execution of organizational initiatives


Additional Support

The following tasks arise less regularly but are a meaningful part of the role. Please note that managing the Director’s calendar is not a component of this position.

  • Schedule meetings and coordinate appointments as needed
  • Develop agendas for staff meetings and occasional committee meetings
  • Organize internal documents and file systems
  • Proofread documents and communications


Qualifications

  • Strong organizational and time-management skills with the ability to prioritize effectively
  • Ability to manage multiple projects simultaneously without losing the details
  • Excellent written and verbal communication skills
  • Strong attention to detail and follow-through
  • Comfortable working in a very fast-paced, collaborative environment
  • Experience with event planning or project coordination required
  • Proficiency with Google Workspace, AI tools, and creative tools for presentations
  • Fluent comfort with technology and a demonstrated ability to adapt to new tools quickly
  • Ability to work on campus during scheduled hours
