Key Responsibilities
• Manage and organize project documentation, including contracts, W-9 forms, certificates of insurance (COIs), and compliance records
• Support the onboarding process for vendors and subcontractors
• Maintain accurate and well-structured project files and documentation
• Monitor and track outstanding documents, following up with vendors and subcontractors as needed
• Assist with project scheduling coordination and internal team communication
• Provide administrative and operational support to project managers
• Assist with basic accounting functions, including Accounts Payable (AP) and Accounts Receivable (AR)
Qualifications
• Prior experience in construction coordination or project administration preferred
• Strong organizational skills with attention to detail
• Ability to manage multiple tasks and responsibilities simultaneously
• Excellent communication skills with a proactive approach to follow-ups
• Basic knowledge of bookkeeping, AP, and AR is an added advantage
