Flotech is searching for a star Project Administrator to join our growing South team in Miami, FL. This role is for a highly organized individual who thrives in a fast paced and dynamic work environment (office and field), while maintaining strong attention to detail, tapping into problem solving skills to meet project objectives.


As a Project Administrator you will play a critical role in client communications, scheduling with field operations and clients, project planning, mapping, preparation and quality control of client deliverables on a daily basis. Additionally, quantitative analysis and reporting is key - ensuring accurate revenue recognition, cost controls, budgeting and efficient billing processes.

The Project Administrator reports to the Area Manager.


  • 80-90% in office, 10%-20% in field
  • May require travel and emergency response


Key Responsibilities:


  1. Project Support and Coordination
  • Support Project Managers and Field Ops in execution project goals (schedule coordination, project planning and project tracking)
  • Ensure required permitting, material ordering and equipment are planned in advance of the start of work
  • Create project maps in ArcGIS, including asset IDs, to support field crews with planning, sequencing, and business development proposals
  • Support Field Operations and Estimating creating cost estimates for all project work orders
  • Support Business Development and Estimating teams with quantity takeoffs and jobsite visits


2. Project Monitoring and Reporting

  • Ensure accurate tracking, recording and reporting of all active projects on a daily basis, supporting field crews, as needed (supporting all aspects of administration and documentation)
  • Audit production data / timecards from field crews for project manager's review and acceptance
  • Verify, track and forecast project costs as per Estimator’s budget


3. Client Communication and Deliverables

  • Assist project manager with project deliverables preparation, presentation, and submission, including but not limited to daily QAQC per NASSCO PACP/LACP/MACP standards, GraniteNet inspection reports, ARC GIS system input and pipe condition assessment reports
  • Demonstrate high standards of communication and organization with clients on project updates


4. Project Financial Management

  • Assist project manager in project billing and job costing, ensuring prompt billing and reporting
  • Assist with daily budget tracking and variance analysis
  • Assist Accounting team in periodic financial reviews, including revenue recognition and job cost review, equipment cost review, project cost management, billing preparation, and operational expense review
  • Review and maintain regional expense reports, enforcing company expense policy


5. Team Coordination and Resource Management

  • Assist Fleet Manager in coordination of Mechanics and Technicians for optimal equipment maintenance and utilization, as well as reporting
  • Act as a regional liaison for HR, IT, and business management, as needed
  • Assist with software training and implementation
  • Enforce operations and accounting controls, policies, and SOPs
  • Promote ongoing Safety First Culture


Qualifications:

  • Bachelor’s degree in Construction Management preferred, but not required
  • Ability to analyze civil construction contracts, plans, technical specifications and shop drawings
  • Proven leadership and communication skills (written and verbal)
  • 2-3 years experience of Field Engineering, Project Management or Field Operations preferred
  • Experience working in maintenance and / or construction of storm and wastewater collection systems (jet-vac cleaning, CCTV pipeline inspection, trenchless rehabilitation) preferred
  • Strong organizational and time management skills
  • Proficiency in software and data management tools (MS Excel, HCSS, Hubspot, Adobe)
  • Bilingual: English & Spanish required
  • OSHA 10 preferred
  • NASSCO PACP preferred
  • Ability to work with budgets and KPI metrics
  • Ability to be decisive, flexible, and execute effectively in a dynamic fast-paced environment
  • Experience with ARC GIS, database management & mapping a plus
