Conference Services Manager

 

Position Overview
The Conference Services Manager is responsible for the successful planning, coordination, and execution of all group and catering events after the sale has been confirmed. This role serves as the primary liaison between clients and hotel departments, ensuring a seamless transition from sales to operations while delivering exceptional guest experiences.

 

Key Responsibilities

  • Act as the main point of contact for clients once contracts are signed, guiding them through the planning process from start to finish
  • Coordinate all event logistics including timelines, room setups, audiovisual needs, food & beverage details, and special requests
  • Prepare and manage Banquet Event Orders (BEOs) with accuracy and attention to detail
  • Lead client meetings, site visits, and pre-conference planning calls
  • Communicate all event details clearly to internal teams including Banquets, Culinary, AV, and Operations
  • Ensure all billing is accurate, up to date, and aligned with contracted terms and F&B minimums
  • Anticipate client needs and proactively problem-solve to ensure a flawless event experience
  • Be present on-site for events as needed to oversee execution and client satisfaction
  • Build strong relationships with clients to encourage repeat business and referrals

 

Qualifications

  • Minimum 2–4 years of experience in conference services, event planning, or hotel operations
  • Strong organizational skills with the ability to manage multiple events simultaneously
  • Exceptional communication and interpersonal skills
  • Detail-oriented with strong problem-solving abilities
  • Experience working with hotel systems (Delphi/Salesforce preferred)
  • Ability to work flexible hours, including evenings and weekends as needed

 

Preferred Skills

  • Knowledge of food & beverage operations and banquet service standards
  • Experience managing group room blocks and understanding overall program revenue (rooms + F&B)
  • Strong sense of urgency and ability to thrive in a fast-paced environment
  • Team-oriented mindset with a focus on collaboration across departments
