Kindred Hospital Philadelphia - Havertown and Acute Rehabilitation Unit (ARU) is 66-bed hospital offering the same in depth care you would receive in a traditional hospital, but for an extended recovery period. With 57 long-term acute care (LTAC) hospital beds, we partner with your physician and offer 24-hour clinical care seven days a week so you can start your journey to wellness. Similarly, our nine-bed ARU is designed for people who have experienced the debilitating effects of an acute injury, impairment or illness. We are located in within a medical district close to Darby Creek and West Chester Pike expressway.

Job Summary

The Manager, Health Information Management (HIM) is responsible for the overall leadership, coordination, and management of facility-based HIM operations. This role ensures the integrity, accuracy, security, and accessibility of patient health information in compliance with all federal, state, and regulatory requirements. The Manager oversees medical record processes, including documentation management, record completion, release of information, and data governance, while supporting clinical, operational, and regulatory needs of the facility.

Essential Functions

  • Directs and oversees daily HIM department operations including record processing, document imaging, deficiency management, and release of information.
  • Ensures compliance with all applicable regulations and standards including HIPAA, CMS, Joint Commission, and state-specific requirements.
  • Maintains and enforces policies and procedures related to medical record documentation, retention, confidentiality, and security.
  • Monitors medical record completion, delinquency rates, and physician documentation compliance; collaborates with medical staff to ensure timely completion.
  • Oversees release of information (ROI) processes ensuring accuracy, timeliness, and compliance with legal and regulatory requirements.
  • Ensures data integrity within the electronic health record (EHR) and related systems, including patient identity management and record reconciliation.
  • Develops and monitors departmental budgets, staffing plans, and productivity standards to ensure efficient operations.
  • Leads, coaches, and develops HIM staff, including performance management, training, and competency validation.
  • Collaborates with clinical, revenue cycle, compliance, and IT teams to support documentation improvement, coding workflows, and data quality initiatives.
  • Supports audits, surveys, and accreditation activities; prepares documentation and implements corrective actions as needed.
  • Implements process improvements to enhance efficiency, accuracy, and turnaround times of HIM functions.
  • Serves as a subject matter expert on HIM regulations, privacy, and documentation standards for facility leadership and staff.
  • Participates in facility committees and interdisciplinary initiatives related to documentation, compliance, and information governance.

Knowledge/Skills/Abilities/Expectations

  • Strong knowledge of HIM operations including record completion, ROI, document imaging, and data integrity.
  • Knowledge of regulatory and accreditation standards related to medical records and patient privacy (e.g., HIPAA, CMS, Joint Commission).
  • Understanding of EHR systems, workflows, and health information data governance.
  • Ability to interpret and apply healthcare laws and regulations related to medical records.
  • Strong leadership, team development, and performance management skills.
  • Excellent analytical, organizational, and problem-solving abilities.
  • Effective verbal and written communication skills with ability to collaborate across disciplines.
  • Ability to manage multiple priorities and drive process improvements in a fast-paced environment.
Qualifications

Education

  • Bachelor’s Degree in Health Information Management, Health Administration, or related field (required) And
    Master’s Degree in Healthcare Administration, Business Administration, Informatics, or related field (preferred)

Licenses/Certifications

  • RHIA - Registered Health Information Administrator Upon Hire (preferred) Or
    RHIT - Registered Health Information Technician (based on facility need) Upon Hire (May be required-Facility Specific)

Experience

  • 3-5 years progressively responsible experience in Health Information Management in an acute care setting (required) And
    2+ years leadership or supervisory experience in HIM or related function (required) And
    Prior Experience with electronic health record systems and document management systems (required)
