Position Summary: Performs a variety of records, accounting, customer service, and administrative functions.
Supervision Exercised and Received: This position works under the direct supervision of the Police Administrative Supervisor.
Essential Job Functions:
Customer Service
• Greets and assists visitors coming into the police department. Answers, screens, and transfers phone calls as appropriate. Provides information, answers questions, and determines appropriate course of action while upholding the City of Aspen Customer Service Standards.
• Occasionally, addresses emergency situations with visitors or callers while connecting them with appropriate resources.
• Conducts VIN inspections for out of state vehicle registrations via Records Management System (RMS), NCIC/CCIC systems, and collects payment.
• Appropriately enters calls for service to dispatch via RMS for police response.
• Processes and organizes incoming payments for public services such as records requests, alarm permit fees, and other police services.
• Assists with fulfilling records requests within the designated scope of authority or delegates to appropriately for requests beyond scope of authority.
• Intakes, records, and disposes of Lost and Found and Safekeeping Property in accordance with standard procedures. Assists with coordinating bike disposal through auctions and donations.
• Provides notary services.
• Processes and issues ski and bike registration.
• Assists in the sale of Police Logo Merchandise.
• Completes requests to Finance department for emergency petty cash.
• Completes deposits, makes deposits, and records credit card transactions to submit to Finance department.
Alarm Program Management
• Oversees City of Aspen police alarm permitting services.
• Issues new alarm permit numbers, updates existing permit information in RMS, CDALARM, PREMISES and maintains records in Excel.
• Creates, tracks and sends communication and invoices to permit holders for renewals, false alarms, late payments, cancellations, etc.
• Collects alarm-related payments and records deposits in systems such as Municipay, Salesforce, and Excel.
• Contacts security companies regarding new permits, cancellations, sold property, or other necessary updates.
Department Support
• Supports accreditation directives to comply with accreditation requirements and best practices.
• Processes, distributes and sends mail, packages, or other deliveries.
• Participates in Incident Command System (ICS) functions as needed.
• Coordinates supply ordering and purchasing for the department.
• Handles incoming and outgoing payments for purchase orders, contracts, or grants.
• Oversees, approves, and schedules reservations for shared conference room.
• Provides fingerprinting services for the public. Issues, updates, and manages employee issued cell phones.
• Assists with occasional food ordering and catering setup for department events or meetings.

Minimum Requirements:
Education: High School diploma or GED equivalent.
Experience: Two (2) years of progressively responsible experience in customer service in a team environment, handling difficult customer in a fast-paced environment.
Technical Knowledge:
• Must be proficient in Microsoft Word, Excel, and Outlook (Email). Must have a basic understanding of computers and online computer-based technology applications, which includes accessing web-based platforms.
Licenses & Certifications:
• Must possess a valid Colorado driver’s license or be able to obtain one within 30 days of start date.
• Notary Public Certification or able to obtain within three months of hire
• First Aid and CPR Certification or able to obtain within 12 months of hire
• Ability to complete Incident Command System Training - Level 100 and 200 within the first year.
Preferred Candidate:
• Demonstrates ability to manage multiple priorities in a fast-paced, customer-facing setting while maintaining accuracy, professionalism, and confidentiality.
• Bilingual (English/ Spanish), with the ability to effectively communicate with a diverse community in both languages.
NOTE: This position requires the candidate to successfully pass a criminal background check, integrity interview, polygraph or Computer Voice Stress Analysis (CVSA) test, and drug test, upon hire. The drug test (5/6 panel) will be completed at PROCOM – Glenwood Springs. Employment is contingent upon successful completion of all required pre-employment testing.
NOTE: Any combination of experience and education that would likely provide the required abilities, knowledge, and skills as determined by the City of Aspen may be substituted for the requirements above.
