In this dynamic position, you’ll serve as a trusted partner to executive leadership, providing critical administrative, fiscal, and programmatic support to the Deputy Assistant Secretary overseeing Economic Stability and Disability Determination Services.

Three years of experience in administrative services; OR

Six years of full-time work experience in any field; OR

A bachelor's degree.

EXPERIENCE SUBSTITUTION:
Every 30 semester hours earned from an accredited college or university will be credited as one year of experience towards the six years of full-time work experience in any field. The maximum substitution allowed is 120 semester hours which substitutes for a maximum of four years of experience in any field.The official job specifications for this role, as defined by the State Civil Service, can be found here.Job Duties:

· Coordinates statewide administrative operations for purchasing, procurement, travel, budget, and payroll functions in support of Economic Stability and Disability Determinations Services programs.

· Serves as liaison between State Office leadership and regional/field offices, ensuring clear communication and efficient coordination of program and operational activities.

· Manages purchasing and procurement processes, including vendor coordination, bid evaluation, contract compliance, and maintaining accurate records in accordance with state regulations.

· Oversees travel authorizations and arrangements, securing cost-effective accommodations and ensuring proper documentation, reconciliation, and reimbursement processing.

· Develops, monitors, and analyzes budget activities, including preparing annual budget requests, tracking expenditures, identifying trends, and reporting variances or issues.

· Administers payroll and personnel actions, ensuring accurate timekeeping, compliance with payroll policies, and coordination of HR transactions and documentation.

· Provides high-level administrative support to executive leadership, including managing communications, preparing reports and correspondence, coordinating meetings and events, and maintaining confidentiality in personnel matters.
