The Medical Scientist Training Program (MSTP, MD-PhD Program) seeks a dynamic MSTP Administrative Director to join their team. Under the direct supervision of the MSTP Director, and with guidance from the Senior Associate Deans for Administration of the Department of Medical Education (Med Ed) and the Graduate School of Biomedical Sciences (GSBS), the MSTP Administrative Director will provide administrative support to the Director, Associate Directors, MSTP students, and program partners. As a member of the MSTP leadership team, the Administrative Director, will implement best practices for effective and efficient operations, and help develop the mission, goals, and policy directions for the Program. This individual will oversee and direct all administrative operations for the Mount Sinai MSTP, a dynamic, dual-degree program with 100 future physician-scientists and a leadership team including 5 faculty and staff. This program involves collaboration with members of the GSBS and Med Ed.

Roles & Responsibilities:

  • Recruitment: Develop and execute short and long-term recruitment plans, with particular emphasis given to candidates who are underrepresented in science and medicine (URiSM); manage the recruitment budget; oversee creation of marketing materials; participate in internal and external recruitment events, manage training of 30 student admissions volunteers
  • Data Management: Oversee and manage the integrity of the entire admissions cycle, including the application screening process for over 500 applications each year, the interview process of approximately 100 applicants, the waitlist process for approximately 70 applicants, and the yield process for approximately 30 admitted students each year, using data presented by MSTP Coordinator to oversee continuous quality improvement
  • Applicant Support: Work with the MSTP Director and MSTP Coordinator to ensure the systems for applicants are up to date and accurate, and to support applicants throughout the entire admissions process
  • Enrollment Communication: Responsible for managing communication processes from inquiry through enrollment, working closely with GSBS, Marketing teams, and Diversity in Admissions Group (DAG)
  • Enrollment Analytics: Gather data and advise MSTP leadership on key performance indicators, identify pain points, strengths, and opportunities for growth at all stages of the admissions cycle from the ISMMS experience as well as curating comparative best practices from the National MD-PhD community to ensure continues improvement of the quality and competitiveness of the Program.
  • Enrollment & Student Support

o Work collaboratively with MSTP leadership to ensure a holistic student experience that supports all students in identifying and achieving their academic, personal, and/or career goals throughout their time in the MSTP

o Review, update, and recommend changes to existing policies, programs, and procedures

o Provide students transitioning between phases of training in the Medical and Graduate Schools with guidance to help familiarize them with each school's policies, resources and services, facilities, expectations for academic, professional, and personal success

o Consult and advise students, faculty, staff and leadership regarding student issues including academic progress, private and sensitive matters, and crisis management; synchronize with Program and school leadership to implement a course of action

o In consultation with Med Ed and GSBS, develop, implement, monitor, and evaluate a student support approach to bolster persistence, retention, and completion; including student-centered programming that ranges from social, academic, DEI-focused, and professional development

o Oversee the enrollment, orientation, payroll, and general onboarding activities for all incoming students and current students

o Advise current students on course selection and registration, financial support, health insurance, academic policies, and Program policies

o Track course registration and submit final MSTP course grades in Blackboard

  • Finances and Budget

o Oversee Program's budget, including managing invoices, contracts and procurement, while ensuring that funds are used to meet the goals and mission of the Program and institution; review quarterly reports generated by MSTP Coordinator

o Oversee compilation of expenditure reports for budgeting and detailed end-of-year reports

o Negotiating contracts and develop relationships with vendors

o Coordinate with the Finance team regarding Graduate School bonuses, student reimbursement, and Program purchases

o Stay current on institutional finance and budget policies and procedures as they relate to Program expenditures

Information and Data Management

o Ensure accurate academic, milestone, and administrative records are maintained

o Work with MSTP Director on the rollout, collection, and monitoring of the MSTP Individual Development Plan (IDP)

o Design program management tool to help the MSTP prioritize, optimize resource capacity, streamline budget, increase collaboration, and manage interdependencies and conflicts

o Help maintain comprehensive student database, that includes student contact information, MTA, rotation and lab, milestone information, awards won (e.g. F30, other), publications, title of PhD dissertation, etc.

o Work with the MSTP Coordinator to ensure timely data entry in online databases (i.e., Empower) for current student information

NIH-grant-related activities

o Supervise MSTP appointments, reappointments and terminations, as it relates to the program's T32 grant and student support

o Assist with annual non-competing Progress Report for the NIH T32 training grant; collect information for required table and data in InfoEd and xTract

o Oversee data collection for 5-year training grant application and work with the MSTP Director and GSBS team members to complete the application

o Participate in writing and editing grant applications

Communications and Event Planning

o Serve as point of contact for students in providing administrative support; serve as a liaison between the MSTP Director and students, faculty and partners regarding administrative issues

o Develop and enhance relationships with key stakeholders, like admissions committee members, MTA directors, faculty members, Med Ed staff, GS program managers, administrators, and pathway program leadership

o Liase with faculty, GSBS and Med Ed staff and departments, various committees, peer MD/PhD programs, AAMC, and Biomedical Sciences Association of Graduate Admissions Professionals peers

o Oversee program publications and communications

o Ensure website content is up to date, and coordinate with the web team for maintenance of the MSTP's web presence

o Oversee all on-campus and off-campus events and program activities, including securing a venue, negotiating a contract, AV, catering, participant coordination, and promotional materials

  • Strategic Planning

o Help refine the program mission, vision, values, and goals; using this information to help guide and stipulate measurable outcomes, strategic initiatives, and tactics

o With the MSTP Director, contribute to the development and implementation of a strategic plan that encompasses the entire student life cycle, from initial recruiting, admissions, student support and activities, through to alumni

o Help design a comprehensive program of educational and co-curricular opportunities that complements the academic learning goals, advances the Program's strategic goals for diversity, equity & inclusion, promotes belongingness, and creates a positive environment

  • General Administration

o Hire, train, supervise, evaluate, and terminate MSTP support staff

o Provide daily leadership and supervision of MSTP Coordinator

o Coordinate and run MSTP Team Meetings

o Attend Med Ed Administration Team Huddle

o Attend GSBS Staff meeting

o Performs other related duties.

Requirements:

  • Education: Bachelor's degree; Master's degree preferred
  • Experience: 5 years of experience in health care finance or administration; professional experience in higher education administration, admissions, or student affairs related, preferably at the graduate or professional school level
  • A general knowledge of biomedical research and research training
  • Excellent oral, written and interpersonal communication skills
  • Proficiency in computer software applications
  • Desired qualifications
  • Familiarity with NIH training program and grant management policies, and experience in the administration of research training programs
  • Prior supervisory experience

Compensation

The Mount Sinai Health System (MSHS) provides a salary range to comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $95,450.00 - $154,499.99 Annually. Actual salaries depend on a variety of factors, including experience, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
