The Medical Scientist Training Program (MSTP, MD-PhD Program) seeks a dynamic MSTP Coordinator to join their team. Under the direct supervision of the MSTP Administrative Director, the MSTP Coordinator will act as the administrative supporter for the MSTP leadership team for program operations, information and data management, communications, and student support. This program is a dual-degree program with 100 future physician-scientists, and a leadership team including 5 faculty and staff, involving collaboration with members of the Graduate School of Biomedical Sciences (GSBS) and the Department of Medical Education (Med Ed).

Roles & Responsibilities:

Recruitment and Admissions

  • Serve as a friendly principal point of contact for applicants, providing admissions advising
  • Compile, organize, and present admissions statistics
  • Assist with planning and executing recruitment events, including, but not limited to admissions virtual interviews, open houses, student events, recruitment fairs, webinars, etc.
  • Recruit and coordinate approximately 30 student admissions volunteers
  • Coordinate MSTP representation and attend internal and external recruitment events
  • Oversee the inventory of recruitment materials, and work with the GSBS, Marketing teams, and Diversity in Admissions Group (DAG) to design new content and swag

Enrollment & Student Support

  • Guide new students through the onboarding process, ensuring completion of matriculation tasks and providing needed resources for successful transitions between phases
  • Assist in the planning and implementation of new student orientation programming, including securing necessary logistical aspects such as meeting and conference facilities, food service, supplies, participant and guest management
  • Help develop policies and procedures for new students
  • Advise students on MSTP milestones, especially during key academic transitions
  • Facilitate community-building programming, like cohort outings, program picnics, and other events

Finances and Budget

  • Manage student fund requests (i.e. events, travel), tracking student group fund balances, and answering questions regarding policies for reimbursement
  • Place and track orders for supplies and swag
  • Develop and maintain relationships with vendors
  • Work together with Finance colleagues to track annual spending and present quarterly report to MSTP team

Information and Data Management

  • Maintain up-to-date database to provide tracking on all aspects of the MSTP - admissions, student milestones, student demographics, alumni tracking, extensive training grant table data
  • Generate reports of key performance indicators of applicants (biweekly), students (monthly), and alumni (annually)
  • Work with the GSBS Senior Program Manager for Business Process Optimization and Learning Environment regarding technical advancement
  • Maintain website and media content for recruitment
  • Maintain platform for internal information sharing

NIH-grant-related activities

  • Annually appoint, reappoint and terminate students supported by the training grant
  • Assist with annual non-competing Progress Report for the NIH training grant; collect information for required table and data in InfoEd and xTract
  • Compile information on student publications, individual fellowships, and other awards

Communications and Events

  • Manage the mdphd@mssm.edu and md-phdadmissions@mssm.edu inbox
  • Maintain MSTP calendar, which include program events, courses, admissions events, commencement, standing meetings, etc.
  • Help refine student communication plan, including regular milestone reminders, event invitations, announcements of program updates and student accomplishments, dissertation announcement and, volunteer requests
  • Manage and expand social media reach by posting content
  • Take the lead in event logistic coordination, including venue preparation, AV, catering, and participant coordination. Events include, but are not limited to MSTP events, virtual interview days, open house events, new student orientation, MSTP courses, student meetings (check ins with leadership, transition meetings for cohorts), monthly programming (JEDI, Knowledge Nuggets, Meet the Physician Scientist, Medical Scientist Grand Rounds), program-wide picnic, convocation, and an annual retreat
  • Coordinates travel arrangements and reimbursements for visitors
  • Performs other related duties.

Requirements:

  • Education: Bachelor's Degree preferred; an equivalent combination of education and/or experience may substitute for the degree when the experiences are closely related to the duties of the job.
  • Previous Experience: 3 years' experience coordinating and administrating program activities for assigned area; Minimum of one year of professional experience working in student affairs, admissions, and/or marketing, preferably in a higher education setting
  • Must have the ability to work independently, as well as with a team of colleagues, possessing strong interpersonal and relationship-building skills
  • Excellent written and verbal communication skills
  • Exceptional organizational and time management skills with the ability to prioritize and balance competing priorities

Compensation

The Mount Sinai Health System (MSHS) provides a salary range to comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $50,000.00 - $82,562.83 Annually. Actual salaries depend on a variety of factors, including experience, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
