Job Overview – Administrative Coordinator
Compensation: $55,000 – $60,000/year

Schedule: Monday to Friday (Hybrid)
Atlantic Group is hiring an Administrative Coordinator in New York, NY to support job posting workflows, job board management, and operational reporting across multiple staffing divisions. In this role, you will coordinate job submissions, publish listings across LinkedIn, the company website, and other job platforms, and maintain accurate job data within internal systems and ATS platforms such as Bullhorn. You will also maintain job tracking and reporting while ensuring listings remain accurate, compliant, and confidential as part of our growing back-office team.
Responsibilities as the Administrative Coordinator:
- Job Posting Management: Review recruiter submissions, format job descriptions, and publish listings across LinkedIn, company websites, and job boards while ensuring accuracy, formatting consistency, and protection of confidential client information.
- Quality Assurance & Confidentiality: Review job postings for accuracy including compensation ranges, locations, and formatting standards while ensuring confidential client and search information remains protected.
- Recruiter Coordination: Partner with recruiters across multiple divisions to gather role details, clarify job requirements, and coordinate posting requests to ensure timely publication.
- ATS & Job Tracking: Maintain accurate job records within applicant tracking systems such as Bullhorn while ensuring job status, compensation details, and posting locations remain current.
- Workflow Management: Track and prioritize job posting requests from multiple recruiting teams while maintaining organized records of active, pending, and closed job listings and leveraging productivity tools and AI-assisted workflows to improve operational efficiency.
Qualifications for the Administrative Coordinator:
- Education: Bachelor’s degree in Business, Communications, Marketing, Human Resources, or a related field preferred.
- Experience: Minimum of 1 year of experience in recruiting operations, administrative coordination, HR support, marketing operations, or similar workflow-driven roles in a fast-paced professional environment.
- Industry Knowledge: Familiarity with recruiting processes, job board publishing, and applicant tracking system workflows is preferred.
- Technical Skills: Proficiency in Microsoft Excel, Word, and Outlook is required, and experience with ATS platforms such as Bullhorn and job boards including LinkedIn or Indeed is preferred.
- Skills & Attributes: Demonstrates strong attention to detail, organization, and communication skills with the ability to manage multiple recruiter requests in a fast-paced environment while quickly learning new systems and improving operational workflows.
