The Administrative Coordinator 4will serve as the first point of contact for departments and vendors before matters are escalated to the Director of Purchasing. This position plays an important role in the day-to-day operations of the Purchasing Office by managing departmental emails and calls, processing Small Purchase Orders, and conducting Banner training for both new and current employees.By ensuring requests are handled accurately, efficiently, and in compliance with university policies, this role directly supports Purchasing’s mission to safeguard NSU’s resources and secure quality goods and services at the best value for the University, our students, and the community.

Three years of experience in administrative services.

EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.The official job specifications for this role, as defined by the State Civil Service, can be found here.Job Duties:

Primary responsibilities:

  • Monitor and respond to all incoming department emails, calls, questions, and walk-ins.

  • Monitor and maintain the Purchasing Calendar for all trainings, out-of-office, and meetings.

  • Review and process all Small Purchase Requests.

  • Scan all purchasing-related documents into RVI and file them in the appropriate area.

  • Prepare materials needed for Purchasing and Banner Finance Trainings.

  • Review and process Direct Pay Requests.

  • Other duties assigned by the Director of Purchasing
