We are seeking a high-performing, career-oriented Administrative Assistant to provide elite support to a dynamic leadership team within a premier healthcare organization. This role is designed for a proactive professional who thrives in complex, fast-paced environments and excels at managing high-level logistics, executive communications, and specialized project coordination.

While this position is primarily remote, candidates must reside within a commutable distance of Pasadena, CA, to attend essential monthly department meetings at the Walnut Center and occasional regional Graduate Medical Education (GME) gatherings.


Location: Remote (Must be local to Pasadena, CA for occasional onsite meetings)

Compensation: $25.00 per hour

Schedule: Monday – Friday, 8:00 AM – 5:00 PM PST

Contract Duration: 6 Months (Potential for extension or conversion to FTE)


Core Responsibilities

  • Executive Correspondence: Proactively manage and review high-volume email inboxes, ensuring timely responses and professional communication with customers and executives.
  • Document & Project Coordination: Track, review, and facilitate the essential follow-up process for agreements and departmental projects.
  • Strategic Support: Perform advanced administrative functions including report preparation, the development of high-impact presentations, and purchasing support.
  • Team Development: Utilize advanced software proficiency to streamline workflows and assist in training team members on new processes.
  • Logistics Management: Support project timelines and coordinate administrative functions that ensure the department meets regional organizational benchmarks.


Required Qualifications

  • Education: A Bachelor’s or Master’s degree is strictly required.
  • Experience: 2–3 years of professional administrative experience, ideally supporting mid- to senior-level management.
  • Technical Proficiency: Intermediate to advanced knowledge of Outlook, Word, Excel, Adobe Professional, and Microsoft Teams.
  • Communication: Excellent written and verbal communication skills with a refined ability to interact professionally with executive staff.
  • Analytical Mindset: Strong attention to detail and the proven ability to learn complex organizational systems quickly.


Preferred Skills

  • Background in contract review or legal administrative support.
  • Professional experience or interest in Project Management.


Travel Requirements

Approximately 5% local/regional travel required for monthly department meetings at the Walnut Center in Pasadena and occasional regional GME meetings.
