Position Summary

Irvine & Company is seeking a part-time Administrative Assistant who thrives in a fast-paced, highly social office and isn’t afraid to wear many hats. This long-term role is central to creating a positive, welcoming environment—you’ll set the tone for the office by supporting clients and staff with energy, professionalism, and a “jump in and get it done” attitude. No two days are the same, and you will handle many tasks from managing calls, calendars, email, party planning, catering management, running errands, and keeping daily operations flowing smoothly. The position also includes practical responsibilities such as maintaining kitchen and shared spaces, recycling, and occasional cleanup.

Located in Gateway on 102nd (easy I-205 access with secure parking), this medium-sized, long-established professional firm offers a supportive and enjoyable workplace with great people.


Responsibilities:


Client & Office Experience

  • Answer and direct incoming phone calls; manage calendars, appointments, and correspondence
  • Greet clients, vendors, and visitors; maintain a polished, professional lobby and conference areas

Events & Coordination

  • Coordinate firm events, including party planning, catering, recruiting events, trade shows
  • Support meetings and trainings by scheduling, organizing, and preparing materials

Office Operations

  • Open and close the office; help maintain overall organization, cleanliness, and appearance
  • Manage mail operations, including incoming/outgoing mail, deposits, postage, and deliveries
  • Run office and partner errands; handle purchasing of supplies, groceries, and miscellaneous items
  • Maintain office equipment (copiers, printers)

Administrative Support

  • Perform administrative tasks such as document scanning, report and proposal processing, and data entry
  • Provide day-to-day support to staff, including scheduling and conference room setup
  • Assist with general technical and administrative needs

Facility & Team Support

  • Maintain kitchen areas, including stocking, cleaning, dishwashing, and monitoring supplies; handle occasional garbage and recycling duties
  • Complete ad hoc projects and provide backup coverage for other administrative team members as needed


Requirements:

Criminal Background check

Able to climb stairs often and lift 40 lbs. safely

A reliable, insured vehicle is required for errands like shopping and meal pickups


Qualifications:

Minimum 18 years of age

Must have client serving experience whether in an office setting, service industry, healthcare, or other

Basic Microsoft Office experience: Email, Calendar, Word, Excel

Willing to get your “hands dirty”

A can-do attitude!


Compensation and Benefits

The role is part-time (25–28 hours/week, on-site) with potential for more during peak seasons, starting at $22–$25/hour, and includes part-time benefits such as 50% employer-paid health insurance, life insurance, and a 5% contribution to the 401(k).
