Our client is a savvy entrepreneur seeking a highly organized and proactive Administrative Assistant to support day-to-day operations across multiple companies. This role will focus on calendar management, payroll coordination, event planning, special projects, and other administrative functions that keep the operations running smoothly. The ideal candidate will have experience supporting busy executives, exceptional attention to detail, and a self-starter with strong problem-solving skills. A love for animals is a plus.


Key Responsibilities

  • Manage complex calendar scheduling and maintain accurate records.
  • Coordinate travel, meetings, and logistics for leadership and special projects.
  • Maintain clear and consistent communication with vendors, clients, and internal stakeholders.
  • Review, validate, and process team member expenses in the online system, and support expense categorization and tracking as needed.
  • Assist with payroll coordination and other back-office administrative tasks.
  • Support internal and external events, office functions, and special initiatives.
  • Provide general office management support, including mailings, errands, meal reservations, catering coordination, office supplies and snack ordering, and greeting guests.

Qualifications


  • Experience supporting small payroll processes.
  • Self-starter with excellent organizational skills
  • Ability to manage confidential employee information with discretion
  • Strong communication and interpersonal skills
  • Ability to prioritize tasks and work in a fast-paced environment
  • Proficiency in Microsoft Office; QuickBooks experience is a plus.
  • Bachelor’s degree preferred.
  • 5+ years of experience supporting busy executives or senior leadership.
