Assistant to the Chief-of-Staff

About the Role

Mallard Group is looking for an organized, dependable, and proactive Assistant to the Chief-of-Staff.

This role is perfect for someone who enjoys variety, likes helping others stay organized, and takes pride in making sure things get done. You'll work closely with the Chief-of-Staff and assist with a wide range of projects, tasks, and day-to-day responsibilities that help keep the business running smoothly.

No two days will look exactly the same. One day you may be scheduling meetings, organizing company files, or placing supply orders. Another day you may be helping coordinate an event, researching a vendor, following up on project updates, or assisting with special assignments.

Responsibilities

  • Provide administrative support to the Chief-of-Staff
  • Coordinate meetings, schedules, and travel arrangements
  • Track action items and follow up on outstanding tasks
  • Assist with company events, meetings, and employee activities
  • Order office supplies and coordinate vendor services
  • Prepare documents, spreadsheets, presentations, and reports
  • Maintain organized digital and physical filing systems
  • Communicate with employees, customers, vendors, and business partners
  • Assist with special projects and company initiatives
  • Conduct internet research and gather information as requested
  • Help keep projects and priorities organized
  • Perform other administrative and operational duties as assigned


Qualifications

  • High school diploma required; some college preferred
  • 1–3 years of administrative, office, customer service, or coordinator experience preferred
  • Strong computer skills, including Microsoft Outlook, Word, Excel, and Teams
  • Strong written and verbal communication skills
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple tasks and priorities
  • Positive attitude and willingness to learn
  • Professional, dependable, and trustworthy
