The Prentice School is seeking a highly-skilled and detail-oriented Accountant to support the financial operations of our independent school in Tustin, CA. This is a hands-on role responsible for key accounting functions including accounts payable, accounts receivable, and payroll. The ideal candidate will bring a strong background in general ledger accounting and be comfortable working in a collaborative, fast-paced school environment.


The Prentice School is a 1st - 8th grade award-winning private school designed for children with language-based learning disabilities, like dyslexia and co-occurring conditions, including ADHD with an enrollment of approximately 145 students. Our immersive small group focused program is designed to prepare and empower our students for a life of self-advocacy, personal growth and the understanding that their differences can be their strengths. Since we are a small school, this role is vital to the school operations and candidates should only apply if they are highly organized, proactive, detail-oriented, and comfortable wearing multiple hats in a collaborative school environment. The ideal candidate is dependable, solutions-focused, able to manage confidential financial information with discretion, and committed to supporting the school’s mission and community. The ability to work independently while partnering closely with leadership is essential.


Pay Range

  • $82,000 - $95,000, based on experience

 

Responsibilities

  • Manage and ensure accuracy of all daily, weekly, and monthly accounting transactions in order to support CFO as he/she prepares bank reconciliations and completes all fi nancial reporting to present to the Board of Directors.
  • Post all debits and credits in QuickBooks to keep the accounting up-to-date.
  • Conduct monthly billing and collection of tuition and auxiliary income (tutoring, speech, homework club, before & after school care, etc.). Process credit card payments for auxiliary charges at the end of the month.
  • Prepare student enrollment contracts and set up tuition payment plans. Work with the Admissions Department to prepare student enrollment reports tracking latest registrations and projected enrollment for summer and upcoming academic year.
  • Manage the online FACTS Tuition Management System to process tuition and fi nancial aid applications.
  • Serve as the primary contact for questions regarding the students' financial account.
  • Review tuition assistance applications for completeness. Prepare documents for the Tuition Assistance Committee to review. Generate enrollment contracts for tuition assistance recipients.
  • Process cash receipts for all cash transactions immediately upon receipt. Prepare weekly deposit tickets for all checks and cash and prepare for bank courier.
  • Review hourly employee time and attendance records, process payroll on 15th and last day of the month. Monitor absence requests for vacation, PTO, and sick pay.
  • Work with Human Resources to set-up new employees on payroll system and keep information current.
  • Work with third-party administrators to process retirement accounts distribution submissions and set-up new accounts and process other changes.
  • Support fund development efforts through timely accounting and processing of donations.
  • Work with staff members to process the purchasing of supplies for the classroom, printing room, staff lounge, and other common areas.
  • Prepare school permits/licenses, city, county, and state filings for CFO review.
  • Serve as primary contact for vendors.
  • Perform other duties as assigned.


Qualifications

  • Required - Bachelor's degree in accounting or business administration
  • Required - 5 years’ experience in accounting (10 years preferred)
  • Preferred - 2+ years’ experience in school accounting
  • Must be highly organized with proven ability to prioritize responsibilities, handle multiple deadlines and be proactive and productive in a fast-paced work environment
  • Demonstrates ability to work independently on self-directed projects and to collaborate in a team environment
  • Must have a sense of urgency and a strong desire to be a team player and support CFO to efficiently close accounting books and manage duties
  • Possesses an affinity for consistently producing high-quality work with impeccable attention to detail
  • Possesses a positive attitude, strong interpersonal skills, leadership qualities and a fl exible team-oriented approach to working with others
  • Required - Proficient in Quickbooks Online (QBO)
  • Preferred - Proficient in FACTs Management student billing system (or willing to learn new software)
  • Uses Google applications and Microsoft Office Tools such as Word and Excel, and PowerPoint, as well as internet and email programs proficiently
  • Willing to accept constructive criticism and grow
  • Excellent verbal and written communication skills
  • Ability to present professional appearance both in dress and demeanor, maintain poise and exercise diplomacy in contacts with various stakeholders
  • Must maintain an organized and clean office environment
  • Ability to use a personal computer/printer, telephone, fax machine, and copy machine


Physical Requirements

Frequent standing, sitting, walking, bending, stooping, twisting, fi ne hand manipulation (typing/mousing), reaching, simple grasping (answering phone) and occasional lifting, pushing, pulling or carrying objects of up to 40 lbs.
