Position Overview

The Volunteer Manager plays a vital role at Friendship Circle of Miami by overseeing the recruitment, onboarding, scheduling, engagement, and retention of volunteers who support our programs and events. This position serves as the primary coordinator of volunteer experience, ensuring volunteers are effectively recruited, trained, scheduled, and supported throughout their involvement with the organization.

The ideal candidate is highly organized, relationship-oriented, and passionate about volunteerism and community engagement. While this role works closely with program staff and participants, its primary focus is volunteer management, administration, and operations. We are seeking someone who can manage multiple priorities, maintain accurate volunteer records, coordinate orientations and trainings, and create a positive and meaningful volunteer experience.


Key Responsibilities

Volunteer Recruitment & Outreach

• Develop and implement strategies to recruit teenage and adult volunteers through schools, universities, businesses, and community organizations.

• Conduct presentations and attend recruitment events to promote volunteer opportunities and increase community engagement.

• Build and maintain relationships with school administrators, guidance counselors, youth group leaders, and community partners to create a strong volunteer pipeline.

• Serve as an ambassador for Friendship Circle of Miami, representing the organization throughout the community.

Volunteer Onboarding & Training

• Manage the volunteer application, intake, and onboarding process.

• Schedule and facilitate volunteer orientations, trainings, and informational sessions.

• Ensure volunteers complete all required paperwork, waivers, and onboarding requirements.

• Develop and maintain volunteer training materials and resources.

Volunteer Scheduling & Coordination

• Manage volunteer assignments and scheduling for all Friendship Circle of Miami programs, events, and special initiatives.

• Coordinate volunteer coverage and placement based on program needs, availability, and skill sets.

• Maintain ongoing communication with volunteers regarding schedules, expectations, and opportunities.

• Work closely with program staff to ensure volunteer needs are met and assignments are coordinated effectively.

Volunteer Engagement & Retention

• Develop and implement strategies to increase volunteer satisfaction, engagement, and retention.

• Coordinate volunteer appreciation events, recognition programs, and leadership development opportunities.

• Foster a welcoming and inclusive volunteer culture that encourages long-term involvement.

• Gather volunteer feedback and implement improvements to enhance the volunteer experience.

Administrative & Database Management

• Maintain accurate volunteer records, service hours, training documentation, contact information, and participation history.

• Manage volunteer databases and tracking systems to ensure data accuracy and reporting.

• Prepare regular reports on volunteer recruitment, retention, engagement, and participation metrics.

• Assist in developing volunteer policies, procedures, and best practices.

Team Collaboration & Event Support

• Collaborate with program staff, leadership, and event teams to support organizational goals.

• Coordinate volunteer support for special events, fundraisers, and campus-wide initiatives.

• Assist with planning and execution of volunteer-focused events and engagement opportunities.


Qualifications

Education

• Degree in Nonprofit Management, Education, Social Work, Communications, Business Administration, or a related field preferred.

Experience

• Minimum of 2–4 years of experience in volunteer management, community engagement, event coordination, or program administration preferred.

• Experience working with schools, youth groups, volunteers, and community organizations is highly desirable.

• Experience working with individuals with special needs.

Skills

• Strong organizational, project management, and multitasking abilities.

• Excellent communication and relationship-building skills.

• Ability to coordinate multiple schedules, events, and priorities simultaneously.

• Proficiency in Microsoft Office Suite, Google Workspace, and volunteer management or CRM software. • Ability to work collaboratively and independently in a fast-paced environment.


Work Environment & Schedule

• On-site position at the Friendship Circle of Miami campus.

• Regular travel to schools, community meetings, and recruitment events is required.

• Evening and weekend availability is necessary to support orientations, volunteer events, and organizational programs.
