  • About the Role

We are looking for a highly organized, driven, and detail-oriented Virtual Assistant / Sales Support Specialist to support our growing business.

This is not an entry-level assistant role. We need someone who is an expert in HubSpot and understands every stage of the sales process, from lead generation to follow-up, pipeline management, appointment setting, and deal closing support.

The ideal candidate must be proactive, professional on the phone, comfortable speaking with prospects, and able to keep our CRM, sales pipeline, and administrative tasks organized at all times.

  • Main Responsibilities

HubSpot CRM Management

Must master HubSpot in every stage of the sales process

Create and manage pipelines, deals, contacts, companies, and tasks

Track all leads and opportunities accurately inside HubSpot

Build and maintain workflows, automations, reminders, and follow-up sequences

Update notes, deal stages, activities, and contact records daily

Manage email templates, sequences, forms, and reporting dashboards

Organize lead sources and maintain CRM cleanliness

Monitor pipeline progress and identify stalled opportunities

Generate reports on sales activity, appointments, conversions, and revenue

Sales & Lead Generation

Make outbound cold calls to potential clients

Follow up with warm leads and inbound inquiries

Set appointments for the sales team

Help qualify leads and move them through the sales pipeline

Send follow-up emails, proposals, and reminders

Support closing efforts and maintain strong customer relationships

Prospect new business opportunities through online research, LinkedIn, Google, Apollo, and HubSpot

Administrative Support

Answer phone calls and emails professionally

Manage schedules, appointments, and calendars

Book appointments and send appointment confirmations

Send reminders to clients for appointments, meetings, estimates, and follow-ups

Prepare and send invoices to clients

Follow up on unpaid or open invoices until payment is received

Track jobs, projects, and employee hours

Monitor staff schedules, attendance, and clock-in / clock-out records

Keep records of completed jobs and outstanding tasks

Coordinate with team members to ensure jobs are completed on time

Prepare reports and maintain accurate records

Organize documents, spreadsheets, and contact lists

Assist with proposals, estimates, and client onboarding

Handle general administrative and customer service tasks

  • Requirements

MUST be an expert in HubSpot

Must understand every stage of CRM and pipeline management

Previous experience as a Virtual Assistant, Sales Assistant, Customer Service Representative, or Appointment Setter

Strong cold calling and phone communication skills

Excellent English communication, both written and verbal

Comfortable working independently in a remote environment

Highly organized and detail-oriented

Strong follow-up skills and sense of urgency

Experience with spreadsheets, Google Workspace, Microsoft Office, and CRM systems

Ability to multitask and manage priorities

Reliable internet connection and quiet workspace

Preferred Qualifications

Experience with Apollo, HUBSPOT MUST* LinkedIn Sales Navigator, or lead generation tools

Experience with service-based businesses, commercial cleaning, or B2B sales

Experience with email marketing and automation

Experience with appointment setting and commission-based roles
