Vet Tech Marketing Coordinator (Contract – 6 Months, Potential to Extend)

Overview:
We are seeking a Vet Tech Marketing Coordinator to support a fast-paced technical marketing team within the animal health/pharmaceutical industry. This is a hands-on, execution-focused role ideal for someone who thrives in coordination, logistics, and cross-functional communication.
This position will play a key role in supporting marketing initiatives, managing administrative workflows, and ensuring compliance across projects and events.
Key Responsibilities:
- Provide administrative support to the Vet Tech Marketing team, including:
- Tracking POs, invoices, and financials
- Managing contracts and documentation for studies and sponsorships
- Support execution of marketing initiatives (asset approvals, event approvals, scheduling, documentation)
- Coordinate and communicate with internal teams and external vendors to ensure timely project delivery
- Track task progress, provide updates, and escalate issues as needed
- Maintain documentation for compliance and audit readiness
- Assist with event planning logistics (education events, meeting coordination, booking venues, ordering materials/swag)
- Support Ad/Promo review processes (uploading, tracking, revisions, resubmissions)
- Perform accurate data entry and maintain organized records
- Collaborate with marketing, digital, and veterinary teams
- Provide ad-hoc support (meeting scheduling, minutes, follow-ups, sample ordering)
- Ensure all work aligns with regulatory requirements (FDA, USDA, etc.) and internal policies
Day-to-Day Focus:
- Highly logistics and coordination-driven role
- Supporting multiple brand leads through a centralized workflow
- Heavy communication across marketing teams, field veterinarians, and vendors
- Managing compliance entries, documentation, and event coordination
Required Qualifications:
- 2–5 years of administrative or project coordination experience
- Strong communication skills (written and verbal)
- High attention to detail and organizational skills
- Ability to manage multiple tasks and work under pressure
- Proficiency in Microsoft Office Suite (especially Excel, Outlook, Teams)
- Ability to work independently and adapt quickly in a dynamic environment
Preferred Qualifications:
- Background in animal health, life sciences, or related field
- Experience with Veeva Vault or similar promotional review systems (nice to have)
- Exposure to project management or process improvement
- Familiarity with marketing or medical education environments
Education:
- Associate’s degree required
- Open to backgrounds in Communications, Marketing, or Science-related fields
