Job SummaryUnder general direction and in compliance with standard operating procedures and policies, organizes, coordinates, and assists with managing the daily operations of the Unity Park Welcome Center, Canteen, and Honor Tower. Coordinates inbound rental requests, event space rentals, customer relations, opening and closing of facilities, operation of point of sale (POS) system, maintenance and inventory of food and retail establishment, and serves as point of contact for special event clients and vendors. Acts as on-site coordinator, exercising a moderate level of discretion in the interpretation and application of policies, operating procedures, and rules in organizing and directing customers, staff and volunteers. Assists in leading and coordinating seasonal and temporary part-time personnel and volunteers. Provides outstanding customer service to the public on the phone, via email and in-person at Unity Park. Distributes information and provides directions for Unity Park, Swamp Rabbit Trail and Greenville’s Park system. Connects with neighborhood associations, non-profit agencies and organizations to foster community involvement and provide critical feedback to City management. Monitors and inspects associated equipment for safety and security of the Welcome Center, Canteen, Honor Tower and additional park facilities. Tracks and maintains participant and program records as needed. Works a flexible schedule that varies as needed for booked rentals.
Essential Functions Essential Functions % of Time- Plan, Coordinate, and Evaluate Daily Operations for Unity Park Facilities: Oversee and coordinate temporary and volunteer staffing, cleanliness, customer relations and daily operations for Unity Park facilities. Serve as primary liaison between contracted event representatives and Unity Park staff. Conduct tours and site visits of the Unity Park facilities to potential clients. Develop, monitor and evaluate programs through direct observation, recommending and implementing approved improvements as needed. Ensure all facilities are properly maintained and continuously evaluate opportunities to enhance the overall operation and guest experience at Unity Park. Manage the opening and closing of facilities and operation of point of sale (POS) systems. Coordinate one or more of the following areas:
- Welcome Center Event Rentals: Organize and coordinate Welcome Center event space requests. Serve as a subject matter expert on event space information, calendar, fees, layouts, manage rental contracts and payment processing for Welcome Center rentals. Act at point of contact and work directly with customers on coordination and execution of external events. Track and maintain event inquiries, site visits and reservations through digital management software.
- Staffing: Train, lead, and coordinate seasonal and temporary personnel and volunteers in the performance of shared responsibilities. Participate in the interviewing and selection process for seasonal and temporary personnel and volunteers as needed. Conduct training sessions, maintain written protocols, track schedules and maintain staff records.
- Unity Park Honor Tower and Canteen:: Organize and coordinate the Honor Tower and Canteen operations. Ensure facilities are operating within the policies and procedures established by the City. Monitor operations through direct observation, recommend changes and implement management decisions. Manage training and staffing for temporary staff and volunteers for both facilities to ensure appropriate levels of service. Track sales, inventory, pricing and prepare sales reports for Canteen. Provide detailed reports on attendance, group requests and customer feedback for the Honor Tower.

- Provide On-Site Management: Act as on-site coordinator for the day-to-day operations of Unity Park facilities and special events. Assign tasks, supervise temporary and volunteer staff, respond to customers and enforce rules. Coordinate and assist day-of rental logistics with contracted events. Enforce facility rules in compliance with City ordinances or Unity Park guidelines. Monitor and evaluate day-to-day activities in order to troubleshoot any issues that may arise.

- Provide Responsive Customer Service: Develop and maintain a positive relationship between clients, vendors and the City. Greet park visitors, answer questions and provide information about Unity Park, Swamp Rabbit Trail, and the Greenville Park system. Respond to visitor inquiries by phone and email. Provide directions and resolve minor issues; escalate complex issues as needed. Serve as a liaison and resource for the public, businesses, permit holders, City departments, as well as other outside organizations and stakeholders by responding to questions and concerns. Identify potential issues and resolve problems within level of authority, referring to supervisor as appropriate.

- Assist with Special Events Management and Permits: Assist Unity Park Manager in planning, implementing and evaluating City hosted special events. Administer contracts and service agreements with entertainment groups, vendors, etc., according to established ordinances and policies for City hosted special events. Assist the Unity Park Manager with reviewing and managing external special event permits at Unity Park. Maintain a directory of all approved permits and contacts. Ensure ordinance compliance by permit holder. Assist Unity Park Manager in monitoring and administering public property rules and regulations, including event permits and Unity Park encroachments.

- Maintain Records: Record daily attendance of Welcome Center, including drop-in participants, facility rentals, etc. Collect event & vendor documents for assigned events. Prepare and summarize data for quarterly and yearly reports as needed. Assist in the collection of data in support of departmental budget reports as needed.

- Monitor & Inspect Facilities: Monitor and inspect associated equipment for safety and security of the Welcome Center, Canteen, Honor Tower and additional park facilities as assigned. Ensure that equipment is inventoried and maintained on a regular basis. Notify Facilities Maintenance personnel as needed for facility or equipment repairs.

Job Requirements- Bachelor’s degree in parks, recreation, event management or a related field.
- Over two (2) years of experience in planning and executing special events.
- CPR, First Aid, & AED certification within one (1) year of employment.
Driver's License Requirements- Valid South Carolina Class D Driver's License.

- Operate the following machines, tools, and equipment: box truck, City vehicle, golf cart, light towers, credit card machine, audio visual equipment, DSLR cameras and associated lenses, movie screen and projector, two-way radio, generators, calculators, laminating machine, elevator, and handcarts.
- Operate general office equipment to include scanner, printer, copier, telephone, and computer with Microsoft Office Suite.
- Utilize software and systems to include digital management software, graphic design software (Adobe Creative Suite, to include Photoshop and Illustrator), and social media platforms (e.g., Facebook, Twitter, Instagram, and Hootsuite).
