The Transportation Business Operations Assistant 1 will report to the Public Relations Division in Kanawha County. The selected employee will be responsible for answering phone calls from citizens regarding roadway concerns or other WVDOT / WVDOH operations, responding to voicemails we receive from citizens, and gathering notes from citizen phone calls to file a road work request in our database on the citizen's behalf (referred to as SWAT cases). This role involves transferring calls from citizens to the correct District or Division depending on the specific inquiry, maintaining a correct and updated contact list for all of our Districts and Divisions and other key personnel, and daily email communication with all Districts and all Divisions regarding active, past due or closed SWAT cases. Duties also include running a weekly report of active and past due SWAT and Correspondence casework distributed to all Districts and Divisions who may have cases, acquiring and handling online road work requests submitted to our database, and handling road work requests or concerns submitted by email from citizens. Additional responsibilities include assisting with handling mail and knowledge of the mail routing process, assisting with filing documents for the central files, verifying that all constituents' concerns were addressed, monitoring the status of constituent complaints to ensure a timely response, being responsible for all district responses in the IQ database, monitoring multiple email accounts for complaints, and other duties as assigned.

• Confers with inter- and intra-agency personnel to transact business, gather information, or discuss information; may be in a position with public or federal government contact.
•Gathers and compiles information for state records; writes reports, balances tally sheets, and monitors inventories, purchases, and sales.
•Updates records and contacts employees to gather information; represents the supervisor or unit in the area of assignment at in-house meetings.
• Maintains files of information in hard copy or electronic format; runs reports for regular or intermittent review.
• Assists in determining the need for changes in procedures, guidelines, and formats; devises a solution; monitors the success of solutions by devising quantitative/qualitative measures to document the improvement of services.
•Assists in the writing of manuals in the area of assignment; clarifies the wording and describes new procedures accurately.
•Specific rules, regulations, and procedures are used as part of an assignment that may be of a larger scope than those typically required of the position.
• Travel may be required; therefore, a valid driver’s license is required.

REQUIRED TRAINING/EDUCATION

  • High school diploma or the equivalent.

REQUIRED EXPERIENCE

  • Two (2) years of full-time or equivalent part-time paid experience providing advanced clerical duties and/or administrative services in accounting, budgeting, project monitoring and reporting, personnel, or procurement and property.
  • Substitution: Successful completion of coursework from a regionally accredited college or university, related business school, or vocational training may be substituted for the required experience through an established formula.
