Tenant Services Coordinator (Commercial Property) – Midtown Manhattan

Our client, a premier commercial real estate firm, is seeking a highly organized and service-oriented Tenant Services Coordinator to support daily building operations at a Class A property in Midtown Manhattan. This role is on a temporary basis with an expected duration of 3-4 months.


Key Responsibilities

Tenant Services & Operations

  • Serve as the primary point of contact for tenant requests via phone and email; log, assign, and track all service requests through completion
  • Maintain accurate tenant contact records and distribution lists
  • Coordinate tenant move-ins and move-outs, ensuring a smooth transition process
  • Manage building access and security systems
  • Prepare and update weekly operations reports and tracking spreadsheets
  • Coordinate after-hours freight operations, particularly during construction activity
  • Schedule and track lobby staffing coverage, including vacations and shift changes
  • Communicate building updates, including maintenance, repairs, drills, holidays, and emergency notifications
  • Assist in the creation and distribution of tenant communications, including newsletters
  • Maintain office supply inventory and place orders as needed
  • Organize and maintain records of project documentation, including signed proposals and change orders


Accounts Payable & Financial Tracking

  • Receive, code, and process invoices related to property operations
  • Track project-related expenses within the accounting system to ensure accurate cost reporting


Additional Property Support

  • Set up and manage utility accounts (e.g., landlord accounts for vacancies with smart meter systems)
  • Coordinate logistics for on-site events, including signage and communication for shared amenity spaces


Qualifications

  • 2+ years of experience in property management, facilities coordination, or a related field
  • Strong organizational skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office; experience with property management or accounting systems is a plus
  • Detail-oriented with a proactive, customer-service mindset
