Job Description: Talent Acquisition Administrative Assistant

Location: Charlotte, NC (Hybrid)

Duration: Contract Till 07/31/2026 (High Possibility of extension)

Work Schedule: Hybrid (On-site: Monday, Tuesday, Thursday | Remote: Wednesday, Friday

The role of Talent Acquisition Administrative Assistant provides administrative and sourcing support while working closely with a team of recruiters in a fast-paced Talent Acquisition organization. This role is an integral part of the team, responsible for coordinating recruiting activities while also supporting proactive candidate identification and engagement.

The successful candidate will be able to organize and prioritize work, possess strong communication skills, demonstrate attention to detail, and work effectively within a team environment. This position supports daily recruitment operations including interview scheduling, travel coordination, correspondence, invoicing, maintaining recruiting systems (Workday/SharePoint), candidate sourcing, and research.


As a Talent Acquisition Administrative Assistant, you must be able to shift priorities quickly, take initiative, and thrive in a dynamic environment with limited direction. What will you be doing:

  • Prepare new hire paperwork ensuring compliance requirements are met
  • Maintain accurate records of the recruitment process in Workday; conduct spot checks to ensure proper documentation
  • Manage the recruiting mailbox and respond to inquiries
  • Schedule candidate interviews (phone, video, and in-person), coordinate travel, and prepare interview materials
  • Coordinate logistics of interview days/events to ensure a seamless candidate and hiring manager experience
  • Generate and review offer letters and employment agreements
  • Partner with HR Operations to ensure timely completion of background checks
  • Maintain recruiting repository and SharePoint systems


Sourcing Support:

  • Support candidate sourcing efforts by identifying and building pipelines through tools such as LinkedIn Recruiter and other job boards
  • Conduct initial candidate research and resume screening against role requirements
  • Assist with outreach to prospective candidates (email, LinkedIn messaging) to generate interest
  • Build and maintain talent pools for ongoing and future hiring needs
  • Partner with recruiters to track sourcing activity and pipeline progress
  • Support social media recruiting efforts (LinkedIn, Instagram, etc.) by posting and promoting opportunities
  • Serve as a point of contact for Talent Acquisition
  • Support special projects and recruiting events as needed
  • Perform other duties as assigned
