Surgical Scheduler, Full Time, Days, AMG Vascular - Freehold and Old Bridge

Responsible for providing pre-surgical documentation for physicians and instructions for patients. Schedules surgeries and other ancillary tests as directed by Physician or Practice Manager by appropriately placing on calendar and scheduling in EPIC Optime in a timely manner.

Monday – Friday-  830am-5pm - Freehold and Old Bridge, with training in Morristown


Principal Accountabilities:
 

  • Coordinate and schedule vascular surgical procedures in accordance with physician availability, urgency, and facility resources. 
  • Acts as liaison between the patient and physician regarding the vascular surgery.
  • Interfaces with appropriate vendor staff to ensure all necessary equipment will be available on site for hospital-based procedures.
  • Serve as the primary liaison between patients, surgeons, operating rooms, anesthesia teams, and hospital departments to ensure seamless scheduling and communication. 
  • Obtain and verify all required patient information, including demographics, insurance authorization, referrals, and pre-certifications prior to scheduling procedures. 
  • Ensure all pre-operative requirements are completed, including lab work, imaging, medical clearances, and patient instructions. 
  • Communicate surgical dates, preparation instructions, and arrival times clearly to patients and caregivers. 
  • Maintain accurate and up-to-date scheduling records in the electronic medical record (EMR) system. 
  • Monitor and adjust surgical schedules to accommodate urgent or emergent cases, cancellations, or changes in provider availability. 
  • Coordinate with operating room staff to optimize block time utilization and minimize scheduling conflicts. 
  • Verify insurance coverage and obtain prior authorizations in compliance with payer requirements. 
  • Ensure compliance with HIPAA and all organizational policies related to patient confidentiality and data security. 
  • Assist in resolving scheduling issues, patient concerns, and administrative barriers in a timely and professional manner. 
  • Track and report scheduling metrics, including case volumes, cancellations, and delays, as needed. 
  • Support billing and coding processes by ensuring accurate procedure and diagnosis information is documented. 
  • Collaborate with clinical staff to improve workflow efficiency and patient experience within the vascular surgery department.
  • Performs other related duties as assigned.
