Duties and Responsibilities (* Denotes Essential Functions)
*Schedules and coordinates campus visits for prospective students, families, and community members in a timely manner and in alignment with the academic calendar and visitor demand. Ensure all tour logistics are well coordinated.
*Manages the campus visit request process including emails, scheduling platform, and visit follow up.
*Works collaboratively with campus departments and faculty to coordinate campus visits to include the provision of virtual tours, workshops, and events that provide a positive, seamless, and memorable experience for visitors.
*Leads campus visits should student staffing not be available.
*Develops and updates tour scripts and materials to reflect Honolulu CC's latest offerings and achievements.
*Plans and coordinates major enrollment events for the campus including counselor workshops and enrollment events in collaboration with the Enrollment Management team.
*Manages event logistics, including space reservations, catering, transportation, technology, and promotional materials.
*Oversees event registration and communication with attendees before and after events.
*Develops/updates public presentations assessing appropriate and effective recruiting and marketing strategies for various target audiences that include local, mainland, international, parents, and students.
*Assists with the hiring, training and supervision of student assistants that support campus visits and enrollment events.
*Promotes and proudly represents Honolulu Community College to prospective students, families and community members.
*Creates workflows and prepare/design resources that help to deliver effective customer service to students and the general public in a way that is in-line with Honolulu CC's student success goals.
*Answers phone calls from interested students and/or their family members. Provides friendly greeting, gives accurate information, and makes referrals to additional campus contacts for follow-up as needed.
*Keeps abreast of current information about academic programs and related student services opportunities used to guide students through the enrollment process.
*Provides admission and enrollment services to internal and external constituencies, including: serving as an initial point of contact and responding to inquiries from students; maintaining student records, data analysis and reporting, and document review and processing.
*Assists with the development and implementation of Admissions and Records processes and procedures.
*Assists with data extractions, reporting, and statistical analysis to support admissions and enrollment activities.
*Reviews and process admissions and records office documents
*Ensures that the management and disposition of student records are in compliance with all applicable rules, regulations, policies, and procedures.
*Serves as a Designated School Official with SEVIS to assist in the management of international student affairs to include 1-20 issuance/reporting, INS advising and OPT tracking.
*Assists in reviewing and editing the Honolulu CC catalog and registration guide.
*Assists with training, planning, coordination, implementation, and evaluation of events that promote application and enrollment.
*Assists with recruitment, coordination and onboarding activities for new. transfer. and returning students. To include orientation, commencement. and relevant workshops.
*Assists in training and educating internal and external stakeholders about Admissions & Records processes and policies to ensure understanding of and compliance with relevant requirements.
Assists with the maintenance of Admission and Records web pages.
Keeps abreast of current developments in higher education relevant to assigned functions.
*Provides recommendations to the Registrar regarding events and their effectiveness in relation to overall admissions strategies.
Assists in the development and updating promotional brochures, flyers, literature, and other communication/marketing admissions collateral.
*Assists in developing and executing communication plans for prospective students, applicants, and parents/counselors who have indicated their intent to enroll.
Other duties as assigned.
Minimum Qualifications
Possession of a baccalaureate degree in counseling, education, humanities, social sciences. sociology, psychology, business, marketing, STEM, or related field and 1 year of progressively responsible professional experience with responsibilities for student services in higher education, customer service, event planning or visitor services; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
Functional knowledge of principles, practices and techniques in the area of student services, event planning, or customer service as demonstrated by knowledge, understanding and ability to apply concepts and terminology.
Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations, and systems associated with student services, event planning, or customer service.
Demonstrated ability to recognize problems, identify possible causes and resolve the full range of problems that may commonly occur in the area of student services, event planning, or customer service.
Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
Demonstrated ability to operate a personal computer and word processing software.
Ability to perform work requiring strong analytical and problem-solving skills with strong attention to detail and follow-up.
Ability to provide excellent customer service.
Ability to be flexible and adaptive in a fast-paced, challenging and ever-changing environment.
Ability to report to off-campus sites to participate in meetings, presentations, and visitations, etc.
Desirable Qualifications
Master's degree in counseling, education, humanities, social sciences, sociology, psychology, business, marketing, STEM, or related field.
Working knowledge of academic policies and procedures, and federal privacy regulations, such as FERPA.
Experience planning and/or coordinating events.
Experience in the collection, analysis, organization, and distribution of information for data-driven decisions.
Demonstrated familiarity or prior experience working with the cultural, social and economic diversity of Hawaii's student population.
Experience working in higher education.
Experience managing student employees.
