POSITION TITLE: Student Experience Coordinator - Buffalo

POSITION SUMMARY
The Assistant Director is responsible for academic records management and student conduct administration at the Buffalo and Rochester campuses. They also work closely with the Student Experience teams on both campuses to support the development and implementation of co-curricular programming and learning support. Reporting directly to the AVP for Student Experience in Rochester, they have a dotted line report to the AVP for Academics in Buffalo.
This position requires exceptional attention to detail, a commitment to compliance and ethical practice, genuine care for student development and well-being, and the ability to enforce standards with consistency and fairness. To fulfill these responsibilities, this position splits time between the Buffalo and Rochester campuses on a weekly basis, with specific details to be determined with the successful candidate.

MAJOR RESPONSIBILITIES
RESPONSIBILITIES (ESTIMATED% OF TIME)
Academic Records & Compliance (50%)
- Maintain accurate, secure academic records in compliance with BPSS regulations and institutional policy, managing SIS and other database functionality to ensure ongoing data integrity and security
- In coordination with Academic Affairs leadership, develop the academic calendar and build course schedules and register students in SIS
- Process leaves of absence, program withdrawals, and re-enrollment
- Verify degree completion and process graduations; respond to enrollment verification and transcript requests
- Coordinate late payment communications and holds with Controller’s Office
- With guidance and support from the AVP for Student Experience:
- Maintain enrollment data for internal stakeholders and BPSS reporting requirements
- Generate reports on enrollment trends, persistence rates, grade distributions, and academic standing patterns
- Oversee grade submission processes; ensure timely and accurate grade posting each term
- Coordinate academic standing processes and communications in accordance with BPSS and Institute policies, including appeals and Individual Learning Contract (ILC) processes
Student Conduct Administration (25%)
- In partnership with AVP of Campus Safety & Compliance, serve as primary institutional conduct officer; manage academic integrity violations, code of conduct violations, and behavioral concerns
- Conduct investigations, facilitate hearings, and determine appropriate sanctions in accordance with Institute policy, maintaining detailed case documentation and ensuring due process and procedural fairness throughout
- Communicate conduct decisions to students, faculty, and relevant parties; manage appeals processes and track conduct patterns to inform policy refinement and educational interventions
Student Engagement & Success (25%)
- Collaborate with AVP for Student Experience and AVP for Academics to develop and refine policies and procedures that support student persistence
- Assist the Wellbeing Coordinator in developing and implementing student engagement opportunities that foster a sense of belonging and support holistic student development
- Assist the Accessibility & Learning Support Coordinator in providing learning support programming
- Support the development and assessment of student success metrics and co-curricular learning outcomes aligned with the Institute's mission
- Manage students returning from leaves of absence; facilitate re-entry support and academic planning

EXPERIENCE
A minimum of the following experience in higher education and/or K-12 setting:
- One year (three years preferred) of direct student support, advising, and/or coaching experience.
- Three years of evidence-based administrative effectiveness in Academic Affairs, Student Affairs, Student Success, or other education administrative areas.
- One year of records management experience.
- One year administering student conduct processes, including investigations, hearings, and sanctions.
- One year with student information systems (SIS) and academic records management
- Familiarity with BPSS regulations or equivalent regulatory frameworks governing preferred

PHYSICAL REQUIREMENTS
- Must be able to travel between Buffalo and Rochester, as needed, for work-related activities.
