Role Description

The Staff Accountant is primarily responsible for vendor maintenance, accounts payable processing and general accounting functions related to month-end and year-end closing procedures.  This role also serves as the primary back-up for payroll and customer billing, supporting back-office operations as needed. This position plays a critical role in ensuring the accuracy and integrity of financial data, maintaining effective internal controls and supporting timely financial reporting. Success in this role requires strong attention to detail, time management, organizational skills, and a high level of integrity when handling sensitive financial, customer, employee and vendor information.


Hours and Information:

  • The hours are 8:00am – 5:00pm, Monday through Friday – one hour lunch break.
  • Flexibility to address urgent financial matters as needed.
  • This position is located in Tulsa, OK.
  • $60,000 – $70,000 per year (DOE)


Accounts Payable

  • Vendor Maintenance
  • Set up and maintain vendor records in the accounts payable system, ensuring required documentation is obtained (W-9, Certificate of Insurance, banking information) in accordance with internal controls.
  • Maintain accurate and complete vendor data, ensuring compliance with 1099 and other tax requirements
  • Maintain vendor contracts and service agreements and monitor for compliance
  • Vendor Invoice Processing
  • Verifies invoices are properly approved prior to payment, matching against purchase orders and approved requisitions where applicable.
  • Review, code, and enter vendor invoices, ensuring accuracy and proper posting periods.
  • Process monthly credit card processing and reporting.
  • Prepare and process check runs and ACH payments for review and approval
  • Identify and implement process improvements to enhance efficiency in the accounts payable cycle


General Ledger

  • Month End Close
  • Assist with preparation and posting of journal entries
  • Analyze transactions to identify and record necessary accruals
  • Complete monthly bank and balance sheet account reconciliations
  • Prepare intercompany billings when needed including balancing all intercompany accounts
  • Perform weekly payroll and billing transaction exports
  • Reporting and Other General Accounting Duties
  • Support monthly financial reporting preparation.
  • Assists with year-end reporting and coordination with external tax advisors


Payroll and Customer Billing Support

  • Cross-train in payroll and customer billing processes to provide back-up support to the back-office team
  • Assist with new customer set up including service agreement, rate validation, and credit approval
  • Assist with tax reporting and year-end processing
  • Perform other accounting-related duties as assigned


Qualifications


Required Skills and Experience:

  • 3-5 years of experience in general ledger accounting or financial related role, additional accounts payable experience preferred but not required
  • Knowledge of accounting principles and internal controls.
  • Experience with financial management software (e.g., Business Central, NetSuite, QuickBooks)
  • Strong proficiency in Microsoft Excel
  • Experience with reporting tools or business intelligence platforms is a plus
  • Strong attention to detail, accuracy, and organizational skills
  • Strong problem-solving and analytical skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment


Education and Certifications:

  • Bachelor’s degree in Accounting, Finance, or a related field
  • Equivalent combination of education and experience may be considered in lieu of degree
  • Relevant certifications in payroll or financial management are a plus.
