Space & Occupancy Planning Analyst

We are seeking a highly analytical and detail-oriented Space & Occupancy Planning Analyst to support the management and optimization of our corporate space portfolio. This role is central to maintaining accurate space inventory, maximizing space efficiency, supporting strategic workplace design, and ensuring our physical environment aligns with business needs. The Space & Occupancy Planning Analyst will blend analysis of sophisticated occupancy data and space management software administration.

  • Maintain the accuracy and integrity of space inventory and occupancy data.
  • Conduct regular site visits to affirm space inventory, assess current space utilization, and understand departmental needs.
  • Work collaboratively with stakeholders to forecast space needs based on hiring projections, occupancy data, and strategic goals.
  • Administer, maintain, and configure the space management software platform, ensuring data integrity and user accessibility.
  • Create and maintain user accounts, roles, permissions, and workspace assignments
  • Serve as a superuser of our space management software
  • Understand software integrations between the space management system and other core business platforms (e.g., HRIS, Active Directory).
  • Support business processes and identify and implement process improvements.
  • Create and maintain templates and processes to standardize requests.
  • Collect, clean, and manipulate occupancy data for reporting and visualization to identify utilization trends, opportunities for efficiency, and potential bottlenecks.
  • Develop comprehensive dashboards, reports, and presentations for leadership that translate complex data into clear, actionable recommendations.
  • Support the Space Planner with space audits and maintain accurate, up-to-date space inventory and occupancy data across all facilities.
  • Support leadership in business case analysis development.
  • Drive a company or personal vehicle to visit work sites as needed.
  • Perform all other duties and projects that may be assigned.
  • Bachelor's degree in business analytics, data analytics, computer science, or a related field.
  • Two (2) years of experience in an analytical role.
  • Demonstrated proficiency in administering a dedicated space management software platform.
  • Proven ability to perform quantitative and qualitative occupancy data analysis.
  • High-level ability to manipulate data for reporting using tools like Microsoft Excel, Power BI, or Tableau.
  • Strong analytical skills with an ability to translate raw data into compelling business strategies.
  • Solid foundation in office space utilization standards and metrics.
  • Familiarity with the process of establishing and maintaining software integrations (APIs, data feeds).
  • Excellent communication skills, both written and verbal, are required for presenting findings and conducting space audits and site visits effectively.
  • Possession of a valid driver’s license without infractions in accordance with MBTA policy.
  • A High School Diploma or GED with an additional seven (7) years of directly related experience substitutes for the bachelor’s degree requirement.
  • An Associate's degree from an accredited institution with an additional three (3) years of directly related experience substitutes for the bachelor’s degree requirement.
  • A Master’s degree in a related subject substitutes for two (2) years of general experience.
  • A nationally recognized certification or statewide/professional certification in a related field substitutes for one (1) year of experience.

Preferred Experience and Skills

  • Three (3) or more years of space planning experience with proficiency in AutoCAD or equivalent, and an ability to read/understand floor plans
  • Process improvement experience
