Position Summary

The Shipping & Receiving Coordinator HF (Hydroflo) is responsible for maintaining all stock inventory and pulling orders for manufacturing according to designated work orders. They work with freight companies to coordinate shipments, including crating, packaging and loading and they receive incoming shipments. The Shipping & Receiving Coordinator verifies orders for accuracy and ensures paperwork and inventory transactions are completed properly. They are also responsible for maintaining quality control and proper inventory counts on all products and materials coming in and out of the warehouse.

Measures of success:

  • Achieve the production plan as defined in the annual budget
  • Maintain accurate inventory levels and perform cycle counts as defined in the annual objectives
  • 100% compliance with all Hydroflo safety requirements
  • Maintain valid branch-related customer complaints and adverse contacts at or below 1% annually

Responsibilities

Responsibilities include but are not limited to:

  • Follows daily manufacturing work orders and identifies materials needed for manufacturing.
  • Checks email for transfers and work order requests from other branches and sales managers outside of local branch.
  • Receives materials daily and inspects all items that are received, inputting all received materials into ClickOnce system to track inventory
  • Unloads shipping trucks and handles package procedures as required.
  • Counts to ensure all materials have arrived, labeling them and placing in the correct locations
  • Lifts, carries and maneuvers materials throughout warehouse and work areas with the use of fork lift, pallet and hand truck as required.
  • Moves materials and finished products for storage, stock, overflow, transfers (in or out of the branch) within predetermined designated areas.
  • Reviews and completes appropriate documentation for company and customer in order to check incoming materials and outgoing products against bill of lading, packing slip and/or receiving report.
  • Verifies purchase order (PO) matches receipt for incoming freight and enters into the system to update virtual inventory. Files receipts with vendor documentation.
  • Distributes receipts and appropriate documentation to other branches when transferring materials.
  • Replenishes kanban stocking locations daily.
  • Performs cycle counts and quality-related action items
  • Builds crates, weighs and measures product, and prepares for shipping.
  • Coordinates outbound operations for company trucks, less than truckloads (LTL), Hotshots and small packaging, contacting vendors as needed.
  • Prepare for LTL procedure for work order and transfers.
  • Take mandatory picture on all outbound shipments prior to loading.
  • Uses proper lift methods while handling product.
  • Reports any concerns or discrepancies to management.
  • Maintains tools, gauges and equipment in clean, orderly and safe manner.
  • Adheres to established company policies and procedures paying special attention to safety regulations.
  • Performs other duties as assigned.

Qualifications

Required:

  • High school diploma or equivalent
  • Must be capable of passing Hydroflo’s forklift certification
  • 3+ years of experience in shipping, receiving and warehouse
  • Experience with inventory systems
  • Proficient in Microsoft Office (Word, Excel, etc.)
  • Capable of learning Hydroflo’s ClickOnce software
  • Good verbal and written communication skills
  • Ability to work independently as well as within a team setting
  • Organization and multi-tasking skills
  • Basic math skills
  • Manual dexterity and the ability to lift at least 75 pounds and up to 150 with assistance
  • No travel required

Work Environment

This position works primarily in a production floor environment where large equipment and noise are prevalent. Safety gear is required in these areas.

This position reports into the site every day.
