As the Senior Portable Programs Coordinator, you'll be a key player for our Logistics team. This role is expected to take lead on select client onboardings, process / review freight and transportation claims, as well as manage client inventory, track jobs, and place transportation orders. You'll also be a close asset to our Logistics Manager, and be willing to step in as a team-player for others. The Senior Portable Programs Coordinator must have prior trade show and portable display background, as well as familiarity with high-volume shipping. The Senior Portable Programs Coordinator must reside in the Northbrook area office with their team. Senior Portable Programs Coordinator Responsibilities
- Lead the initial 6 months of onboarding a client; work through the initial process and solve issues directly with account team to ensure proper set up.
- Review daily tracking on shipments to and from shows for aligned clients, as well as other team members’ clients.
- In concert with Logistics Manager; process freight claims, including obtaining estimates, filing lost claims, and filing damage claims.
- Proactively follow up with project team members (account teams, project management, etc) to gather additional information as necessary.
- Assist other team members with monthly billing, including the backlog of shows requiring billing submissions.
- Ensure all staff is assisted with processing and approval of credit card and PO purchases for timely billing.
- Understand individual client program pricing / work scope per program pricing quoted by estimating. Immediately bring related job variances to Logistics Manager’s attention.
- Create and enter Job Number into Accelerate from the Customer Portal or other sources.
- Update Accelerate database including inventory management.
- Charge labor promptly to Job Number based off Portable Programs Service Provider Template.
- Enter events into Portable Program Calendar for divisional viewing.
- Prepare show service orders when necessary and generate PO’s.
- Place transportation orders, generate PO and add PO to transportation interface reference line.
- Place I&D orders when necessary and generate PO.
- Perform quality control prior to shipping.
- Reconcile credit card charges in Certify regularly.
- Review vendor invoices for accuracy and approve or reject. If rejected, follow-up with vendor.
- Close out assigned job and submit for timely billing.
- Use preferred vendor program for Show Services, I&D and Transportation.
- Back up other Logistics personnel (including; Logistics Manager) as needed and directed.
- Other duties as assigned / required for operational success.
Requirements
Senior Portable Programs Coordinator Requirements and Qualifications
- Associate degree and / or two or more year of relevant experience.
- Prior experience as a Portable Programs Coordinator (or similar) required.
- Highly organized, flexible and ability to work necessary hours in a fast-paced, deadline driven environment.
- Must be able and open to overtime / flexible schedules to meet client demands.
- Ability to travel occasionally.
- Past leadership or supervisory knowledge preferred.
Salary and Benefits Information
- Salary Range: $53,000.00 to $65,000.00 Annually ($25.48 to $31.25 per hour).
- Position Status: Salaried Non-Exempt. This position is eligible for overtime earnings.
