Senior Operations Coordinator


The Senior Operations Coordinator (Onsite) plays a critical role in independently managing day-to-day on-site operations and employee lifecycle support while serving as a primary operational partner to Operations, HR, IT, and leadership. This role is responsible for executing and maintaining operational processes that ensure compliance, system integrity, and a positive employee and client experience, while proactively identifying and resolving workflow and operational issues.


You Will


Facilities & Office Operations


  • Answer and route incoming calls via the main office line
  • Answer and route incoming Operations inbox tickets
  • Serve as a primary administrator for visitor and employee building access systems (Building Cove, OpenAlta), ensuring access accuracy, security, and audit readiness.
  • Oversee mail scanning and distribution
  • Order and maintain office snacks and supplies
  • Manage in-office room scheduling using Microsoft Teams Rooms
  • Coordinate onsite meetings including:
  • Internal and shared building room scheduling
  • Catering coordination
  • Entertainment and restaurant reservations


Onboarding & New Hire Support


  • Support and execute employee and subcontractor onboarding and offboarding activities across systems and internal workflows, ensuring timely access changes, accurate recordkeeping, and adherence to internal compliance requirements.
  • Maintain accuracy of internal tracking systems, distribution lists, and operational records for employee lifecycle changes.
  • Support client onboarding processes in coordination with Operations and business leads
  • Assist with subcontractor onboarding procedures
  • Schedule and manage New Hire Orientation and Introductory meetings
  • Configure new hires within onboarding and employee engagement platforms (e.g., performance management, rewards, recognition)
  • Coordinate shipping of New Hire Kits


Offboarding & Employee Transitions Support


  • Request and coordinate email and system deactivations
  • Coordinate equipment collection for onsite and remote employees, including return labels and pick up scheduling
  • Remove offboarded employees from internal distribution lists and tracking systems
  • Deactivate access to Operations-owned platforms and systems
  • Support client offboarding processes as needed


Systems Administration & Asset Management


  • Serve as an operational administrator for employee systems access and company assets throughout the employee lifecycle.
  • Provision and deprovision employee access across business‑critical systems in coordination with IT and Operations.
  • Coordinate company asset/laptop shipping and collection
  • Manage home office equipment shipping and tracking
  • Maintain operation owned Microsoft distribution lists, teams, group access
  • Support NetSuite data entry, update and user changes
  • Support IT with company equipment inventory management


Administrative & Management Support


  • Process employee change management tasks (address changes, organizational changes) and distribute related notifications Review and escalate expense report issues as needed
  • Perform data entry, audits, and system clean-up tasks
  • Respond to ad-hoc requests from management and leadership related to Operations and HR


Qualifications


  • 2–4 years of experience in office operations, HR operations, or administrative support
  • Must be able to work onsite in the office at least three (3) days per work week and additional days as requested based on business needs.
  • Ability to operate independently in a fast‑moving environment, exercising sound judgment when managing competing priorities.
  • Ability to handle sensitive employee and company information with discretion
  • Strong attention to detail with the ability to manage multiple workflows simultaneously
  • Experience working with Microsoft 365 (Outlook, Teams) and ERP or HR systems (NetSuite preferred)
  • Excellent organizational and communication skills


Preferred Experience


  • Experience supporting employee onboarding and offboarding
  • Familiarity with physical access systems and IT provisioning processes
  • Experience coordinating onsite meetings and events

Our Journey
