The Opportunity
This is a high-volume, transaction-intensive role built for someone who thrives on daily execution and operational precision.
You’ll sit at the intersection of finance and operations — working directly with supply chain, field teams, and regional managers — owning the daily transaction flow that powers the business.
What You’ll Do
Daily Transaction Processing
- Process and record fuel purchase invoices; match to POs and confirm quantities/pricing
- Process outbound sales invoices and reconcile against delivery records
- Reconcile daily cash activity and resolve discrepancies quickly
- Enter and code transactions in QuickBooks with clean, organized records
- Support AP/AR functions including coding, approvals, and follow-ups
Inventory Tracking & Reconciliation
- Match fuel purchases to sales by region and customer — daily
- Maintain inventory rollforward across five basins
- Identify and resolve discrepancies same day
- Track supplier/customer records for accurate matching
- Flag and escalate unmatched transactions or data gaps immediately
- Produce daily and weekly inventory reports by region/customer
Reporting & Month-End Support
- Prepare daily summaries and exception reports for leadership
- Ensure all transactions are posted and reconciled ahead of close
- Support inventory reconciliation during month-end
- Maintain audit-ready documentation
Tax & Compliance
- Support fuel and sales tax filings across multiple jurisdictions
- Track deadlines and flag upcoming compliance items
Cross-Functional Collaboration
- Partner with supply chain and operations teams daily
- Work with field teams for accurate delivery and volume data
- Escalate discrepancies quickly — this role is a key operational link
What Success Looks Like (First 60 Days)
- Daily invoice matching completed with same-day exception resolution
- Clean inventory rollforward across all regions with no gaps
- Real-time visibility into regional and customer-level data
- Active exception log with daily updates
- Weekly reporting delivered consistently without prompting
- All transactions fully reconciled ahead of month-end
What We’re Looking For
Required Qualifications
- Bachelor’s in Accounting, Finance, Business, or related field
- 2–3 years of public accounting or multi-entity accounting experience
- Strong Excel skills (Pivot Tables, VLOOKUP/XLOOKUP, data matching)
- Experience with QuickBooks or similar ERP
- Ability to manage high transaction volume with accuracy
- Strong organization and attention to detail
- Clear communicator who can identify and resolve issues quickly
Preferred Qualifications
- 2–4 years in transaction processing, operations finance, or accounting
- Experience in energy, fuel distribution, logistics, or commodity-based businesses
- Familiarity with inventory tracking and purchase-to-sales reconciliation
- Exposure to fuel, sales, or excise tax filings
- Experience with ERP/TMS platforms
- Comfortable in a fast-paced, PE-backed environment
