Civil Clothing Inc. is seeking a detail-oriented Sample & Trim Coordinator to support our growing team in Torrance. In this role, you will manage sample and trim logistics to ensure product is organized, accurate, and ready for photo shoots, launches, and internal needs. Responsibilities include coordinating TOP samples, maintaining sample inventory, supporting photo shoot production, ordering supplies, updating line sheets, and keeping materials organized across departments. This role plays an important part in how Civil prepares, presents, and launches product. Your organization, follow-through, and attention to detail will directly support smooth execution across Design, Production, Marketing, and E-Commerce teams.
What You’ll Do
Sample Coordination & Logistics
- Manage sample flow from receipt through photo shoot, review, and final distribution, ensuring alignment with launch calendars and shoot schedules.
- Track TOP samples and maintain visibility on sample status across departments.
- Partner with the warehouse team to prioritize processing and coordinate shipping timelines.
Quality Control & Accuracy
- Review incoming samples against product data to confirm accuracy, completeness, and alignment with specifications.
- Flag discrepancies or quality concerns and communicate updates to the appropriate teams.
Vendor & Cross-Functional Communication
- Build and maintain strong working relationships with vendors to support timely and accurate sample delivery.
- Collaborate with Design, Production, Marketing, E-Commerce, and Warehouse teams to communicate priorities and deadlines clearly.
Sample Room & Inventory Management
- Organize and maintain the sample room to ensure product is properly labeled, stored, and easily accessible.
- Support trim tracking and maintain organized documentation for samples and related materials.
Operational & Administrative Support
- Assist with departmental administrative tasks related to sample tracking, documentation, and supply ordering.
- Demonstrate strong follow-through to ensure timelines, updates, and communication remain accurate and on track.
- Support additional sample and production-related tasks as business needs evolve.

What You Bring
Knowledge, Skills & Abilities
- Working knowledge of apparel production processes, sample stages (proto, fit, TOP), and development timelines preferred.
- Strong organizational skills with exceptional attention to detail and consistent follow-through.
- Proactive problem-solving mindset with the ability to manage shifting priorities and occasional ambiguity.
- Clear written and verbal communication skills to support cross-functional coordination.
- Professional and collaborative approach when working with vendors and internal teams.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and familiarity with PLM, NetSuite or product tracking systems preferred.
- Ability to manage multiple sample requests and deadlines simultaneously in a fast-paced environment.
- Comfortable working under pressure while maintaining accuracy and professionalism.
- Ability to handle product information and internal documentation with discretion.
Education & Experience
- High school diploma or equivalent required; Associate degree in Fashion, Merchandising, Production, or a related field preferred.
- 1–2+ years of experience in sample coordination, production support, product development, or a related role within apparel, fashion, or a creative production environment.
- Experience working in a fast-paced fashion brand, showroom, or product-driven setting preferred.
- Experience in Action Sports, Streetwear, or Apparel preferred.
Physical & Mental Demands
- This role is primarily office-based with regular use of standard office equipment.
- Ability to sit or stand for extended periods and move throughout office, showroom, or production environments as needed.
- Ability to occasionally lift, carry, or move materials or product weighing up to 25 lbs, with or without reasonable accommodation.
- Visual requirements include close vision, distance vision, depth perception, and the ability to adjust focus, with or without reasonable accommodation.
- Ability to work in varied environments, including exposure to noise, temperature fluctuations, and occasional outdoor elements.
- Ability to manage multiple priorities, deadlines, and shifting demands in a fast-paced environment.
- Capacity to maintain focus, sound judgment, and professional communication while navigating time-sensitive issues.
- This role may require flexibility in work hours during peak production periods.
