Position

Title: Sales Support and Order Management Specialist

Location: Bangalore, India (Hybrid)

The Sales Support and Order Management Specialist serve as the primary point of contact for both internal and external customers. This position is responsible for handling a range of activities including pre-sales quoting and post-sales order booking, ensuring that all fulfillment and compliance processes are followed. The role involves collaborating with various departments such as Sales, Legal, Finance, and Supply Chain to support both direct and channel business opportunities. The Specialist is expected to work independently on complex issues with minimal supervision.

What you will do

  • Review, enter, and book purchase orders to the Riverbed online order portal and Oracle ERP, ensuring completeness and accuracy.
  • Process sales orders promptly to meet the needs of both internal and external customers.
  • Ensure all orders comply with established Company policies and SOX procedures.
  • Generate, configure, and deliver accurate sales quotes to the sales team.
  • Coordinate non-standard discount requests through the Deals Desk using Salesforce CRM.
  • Facilitate the submission of product evaluation orders as required.
  • Act as a liaison between sales and manufacturing to coordinate shipment schedules and deliveries.
  • Provide timely updates on order status and tracking information to stakeholders.
  • Manage and resolve queries from both internal and external parties regarding quote and order status or processes.
  • Monitor sales practices and escalate any potential compliance issues for investigation.
  • Address and resolve backlog issues, including order hold releases, product configuration challenges, item number discrepancies, and missing purchase order requirements.
  • Facilitate RMA submissions according to company policy and follow up with partners until completion.
  • Develop a thorough understanding of the sales Operations structure, Sales Team structure, and any special requirements for the region.
  • Be prepared to work extended hours during peak periods such as month-end or quarter-end as workload dictates.

What makes you an ideal candidate

  • Bachelor’s degree preferred, or relevant job experience supporting a fast-paced sales operations environment.
  • Preferred experience in Sales Support, Order Management, or related sales administration roles.
  • Familiarity with Oracle ERP and Salesforce.com CRM, or similar tools, is highly desirable.
  • Demonstrated ability to provide exceptional, high-end customer service.
  • Excellent communication skills with customers, partners, and colleagues at all organizational levels.
  • Self-motivated, quick to learn, detail-oriented, and a conscientious team player.
  • Outstanding follow-through, time management, and planning skills to drive results.
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
