Job DetailsResponsibilities:
- Open and manage escrow and title for all transactions; coordinate with escrow officers, title companies, brokers, attorneys, buyers, sellers, and lenders through close
- Abstract all pertinent dates from executed PSAs and calendar all critical milestones and supporting documentation
- Verify wire instructions directly with escrow on every single transaction — without exception — before submitting internal wire authorization requests to accounting
- Review title reports for liens, encumbrances, and vesting discrepancies; if buying, confirm all listed sellers are vested owners before releasing any deposit — if not, obtain all required signatures first
- Prepare title notices for Principal and VP of Operations review and comment by applicable due dates
- Coordinate draft estimated settlement statements: verify all fees against the PSA, broker agreements, invoices, and proration schedule before routing for internal approval; all line items must have backup documentation
- Track escrow holdbacks: amounts, release timelines, and conditions; calendar all holdback milestones
- Manage all 1031 exchange deadlines and replacement property identification timelines
- Coordinate lender documentation for closings: loan applications, approval conditions, payoff demand requests, and closing packages
- Prepare buyer/seller notices, PSA exhibit documents, and tenant estoppel requests per PSA-specific timelines; cross-reference leases for tenant-specific notice allocations
- Confirm absence of Tenant Right of First Offer (ROFO) obligations with the Director of PM & Leasing before proceeding
- At closing: notify the full team via standardized closing email, with closing statement, deed and other critical documentation/information, and archive all transaction records
Qualifications:
- Minimum 3–5 years of experience in retail transaction coordination, escrow, title, or a closely related real estate operations role
- Demonstrated experience managing full-cycle escrow on commercial real estate transactions (acquisitions, dispositions, and/or financing)
- Strong working knowledge of PSA mechanics, title reports, CC&Rs, escrow processes, and closing documentation
- Proficiency in Microsoft Office Suite
- Exceptional organizational skills and the ability to manage multiple active transactions simultaneously without dropping detail
- Experience working directly with Owners, brokers, outside counsel, escrow/title officers, and lenders in a transactional environment
- Notary Public certification, or being willing to obtain it
- Experience with 1031 exchange transactions and associated deadline management
- Familiarity with commercial real estate entity management: LLC formations, state filings, operating agreement coordination, and registered agent administration
- Exposure to retail or net lease real estate — understanding of tenant estoppels, SNDA agreements, ROFO provisions, and lease abstracts is a meaningful differentiator
- Experience with parcel maps and related project documentation in a development context
- Familiarity with SharePoint or similar document management platforms
