Real Estate Paralegal (Bilingual Mandarin)

Overview:

Vertex Hospitality is seeking a highly organized Real Estate Paralegal to support the legal and real estate functions across a growing, multi-brand portfolio. This role will assist with the preparation, review, and administration of commercial leases and related documents, while helping ensure accuracy, compliance, and timely execution. The ideal candidate is detail-oriented, proactive, and comfortable working in a fast-paced, multi-location environment.


Key Responsibilities:

Lease Administration & Document Support

  • Assist in drafting and formatting commercial leases, amendments, renewals, and related agreements
  • Review lease documents for completeness, consistency, and key business terms (e.g., rent schedules, CAM, key dates)
  • Track critical lease dates including expirations, renewals, rent commencements, and notice deadlines
  • Maintain organized and up-to-date lease files (digital and physical, if applicable)
  • Support preparation and review of Letters of Intent (LOIs)
  • Compare LOIs against final lease agreements to ensure alignment
  • Assist with due diligence materials and transaction checklists for new locations
  • Assist in reviewing and processing real estate-related legal documents, including:
  • Estoppels and SNDAs
  • Guarantees and landlord notices
  • Vendor and construction-related agreements tied to leased premises
  • Route documents for internal review and approvals
  • Coordinate with landlords, brokers, and external counsel to collect and finalize documentation
  • Monitor and flag potential lease compliance issues (e.g., missed deadlines, notice requirements)
  • Assist in preparing draft notices, including default and cure communications, for attorney review
  • Track and log incoming legal notices from landlords
  • Partner with Real Estate, Operations, Finance, and Legal teams to ensure smooth execution of deals
  • Respond to internal requests for lease information and documentation
  • Help simplify and communicate key lease terms to non-legal stakeholders when needed
  • Maintain lease tracking systems and databases with accurate, real-time information
  • Develop and improve document management and tracking processes
  • Support creation of templates, checklists, and standard operating procedures


Qualifications

  • Bachelor’s degree required; Paralegal certificate preferred
  • 2–5+ years of experience in commercial real estate, legal, or lease administration
  • Strong understanding of lease structures and key terms (rent, CAM, TI, etc.)
  • Exceptional attention to detail and organizational skills
  • Ability to manage multiple projects and deadlines simultaneously
  • Strong written and verbal communication skills
  • Bilingual Mandarin required


Preferred Experience

  • Experience supporting retail or restaurant portfolios
  • Familiarity with multi-unit or franchise environments
  • Experience working with lease management software or document management systems
