About the Opportunity

We are partnering with a top-producing luxury real estate advisor based in Napa Valley to hire a Director of Operations / Executive Assistant to serve as a true right-hand partner.

This is a unique opportunity to step into a high-impact, behind-the-scenes leadership role supporting a fast-paced, relationship-driven business. You will be instrumental in bringing structure, organization, and consistency to daily operations—allowing the agent to focus on clients and revenue generation.

This is not a traditional Executive Assistant role and not a sales-first position. It is designed for someone who thrives on organization, execution, and building systems that drive efficiency and growth.

What You’ll Do

Operations & Business Management (Primary Focus)

  • Build and manage systems, workflows, and processes to streamline the business
  • Oversee day-to-day operations and ensure all moving parts stay on track
  • Manage email, calendar, and priorities with a high level of ownership
  • Identify inefficiencies and proactively implement solutions

Executive Support

  • Act as a true right-hand partner in both business and administrative functions
  • Manage scheduling, communications, and follow-ups
  • Anticipate needs and operate with a high level of autonomy

Marketing & Listing Support

  • Coordinate listing marketing efforts (print, digital, social media)
  • Create and manage content using tools like Canva
  • Maintain brand consistency across all platforms

Real Estate Operations

  • Support transaction coordination from contract to close
  • Coordinate with vendors, clients, and internal partners
  • Assist with listing preparation and client experience

What We’re Looking For

Experience

  • Background in real estate operations, transaction coordination, or executive support
  • Experience supporting a high-performing individual or small team
  • Exposure to luxury real estate is highly preferred
  • Active real estate license (CA) preferred, or willingness to obtain

Skill Set

  • Exceptionally organized and detail-oriented
  • Strong written and verbal communication skills
  • Tech-savvy and comfortable with:
  • CRM systems
  • MLS platforms
  • Canva and social media tools
  • Email marketing platforms

  • Operations-first, not sales-first
  • Proactive, self-starter who can manage without constant direction
  • High level of professionalism and polish
  • Thrives in a fast-paced, high-expectation environment
  • Takes pride in creating structure and keeping things running smoothly

Compensation & Structure

  • Compensation will be competitive and tailored to experience
  • Expected to include a base salary plus performance-based incentives
  • Structure (W2 vs. 1099) will be discussed based on candidate profile

Location & Work Environment

  • Based in Napa Valley / St. Helena, CA
  • Candidates must be within a reasonable commuting distance (~30 minutes)
  • Role will be in-person / hybrid, with a strong on-site presence
