Company/Position Overview: Our client, a distribution company founded in the 1930s, located in Beachwood, OH, is seeking a Purchasing and CRM Coordinator to join their team. The Purchasing/CRM Coordinator interacts with Account Administrators, Outside Sales Representatives, and externally with vendor partners to initiate purchase orders, ensure on-time delivery of parts, and update system (AS400 and OnBase) data. This position reports directly to the Account Administration and Compliance Manager and is an integral part of their sales process. The ideal candidate will be willing to learn/highly trainable, have a customer service-oriented mindset, a friendly/positive attitude, who is looking for a long-term home!


Schedule: Monday - Friday 8:00 AM - 4:30 PM (30-minute unpaid meal break)


Duties:

  • Run and distribute buy lists to Outside Sales. Review part needs where there is no specific salesperson assigned.
  • Receive approved buy lists, consolidate needs, and place required purchase orders with vendors.
  • Coordinate PO acknowledgements, change requests, order discrepancies, and other correspondence received from vendors. Communicate this information internally and enter pertinent data into the system.
  • Maintain information in the system, including, but not limited to, the creation of new part cards, historical data transfer, moving parts within the database, and initiating “make orders” for kits requiring internal assembly.


Qualifications:

  • High school diploma required, Associate’s or Bachelor’s a plus
  • Professional communication skills at all organizational levels.
  • Ability to navigate correspondence with the company’s best interest in mind, while maintaining strong relationships with our vendor partners.
  • Solid computer skills with the capacity to quickly learn and utilize new software.
  • Proficient in Microsoft Office suite. Able to manage and manipulate Excel spreadsheets.
  • Comfortable accessing and utilizing web-based ERP and procurement portals.
  • Strong organizational skills and attention to detail to ensure data entry uniformity and accuracy in system maintenance.
  • US Citizenship is required in compliance with federal regulations (ITAR)
  • Must be able to pass a drug and alcohol screening
