Job Title: Purchasing Coordinator
Job Description
The Purchasing Coordinator serves as a key member of the procurement team, ensuring that day-to-day purchasing activities run smoothly and efficiently. This role focuses on sourcing commercial-off-the-shelf (COTS) items and purchasing equipment, goods, and services in alignment with business demand, budgets, and project timelines. The position is ideal for someone who already understands purchasing and wants to be hands-on, owning purchase orders end to end, working directly with vendors, and supporting real operational demand in a manufacturing environment.
Responsibilities
- Execute purchase orders for common mechanical and electrical parts, finished goods, manufactured parts, office consumables, tools, equipment, and outside services.
- Own the full purchase order lifecycle from creation and approval through delivery, receipt, and closure within the ERP system.
- Request and obtain quotes from vendors for required items and services, ensuring competitive pricing and appropriate lead times.
- Negotiate pricing, delivery terms, and other commercial conditions with vendors to support budget and schedule requirements.
- Track and maintain purchase orders to ensure accurate pricing, quantities, and delivery dates in the ERP system and related tools.
- Monitor open orders and proactively follow up with vendors to confirm ship dates, resolve delays, and ensure on-time delivery.
- Coordinate closely with customer service, project management, engineering, accounting, and vendors to resolve shortages, late deliveries, quality concerns, or invoicing discrepancies.
- Maintain up-to-date purchasing records, contracts, and pricing data in the ERP system and other databases.
- Prepare and provide reports on order status, spend, delivery performance, and other procurement metrics as needed.
- Support vendor management activities by maintaining accurate vendor information and helping evaluate vendor performance.
- Assist in identifying and implementing procurement process improvements to increase efficiency and accuracy.
- Support compliance with purchasing policies, internal controls, and established procurement procedures.
- Perform accurate and timely data entry related to purchase orders, vendor information, pricing, and delivery details.
- Collaborate with internal stakeholders to understand material requirements, specifications, and priorities for purchasing.
- Help ensure that purchased items meet required specifications for mechanical, electrical, and finished products used in manufacturing and construction-related activities.
Essential Skills
- Hands-on purchasing experience with direct responsibility for purchase order execution.
- Demonstrated experience creating, managing, and tracking purchase orders in an ERP system (any ERP).
- Strong vendor communication skills, including regular follow-up on quotes, orders, and delivery status.
- Experience requesting vendor quotes and negotiating pricing and delivery terms.
- Experience in procurement or purchasing within a manufacturing environment.
- Ability to purchase and manage orders for electrical parts, mechanical components, finished products, and finished goods.
- Proficiency in data entry with high attention to detail and accuracy.
- Experience with vendor management, including maintaining vendor records and supporting performance monitoring.
- Working knowledge of pricing, cost considerations, and budget alignment in purchasing decisions.
- Proficiency with Microsoft Office, including strong skills in Microsoft Excel.
- Ability to coordinate with cross-functional teams such as customer service, project management, engineering, and accounting.
- Strong organizational skills to maintain purchasing records, contracts, and pricing data.
- Ability to identify and help resolve shortages, late deliveries, quality concerns, and invoicing issues.
Additional Skills & Qualifications
- Experience purchasing tools, equipment, office consumables, and outside services in addition to production materials.
- Familiarity with purchasing for construction-related equipment or materials.
- Experience reporting on order status, spend, and delivery performance using ERP data and spreadsheets.
- Exposure to procurement process improvement initiatives and compliance with purchasing policies and controls.
- Comfort working with both commercial-off-the-shelf (COTS) items and manufactured parts.
- Ability to manage multiple purchase orders and priorities in a fast-paced operational environment.
- Strong interpersonal and relationship-building skills when working with vendors and internal stakeholders.
- Analytical mindset to compare quotes, evaluate vendor options, and support cost-effective purchasing decisions.
Work Environment
Work is predominantly performed in an office setting within a manufacturing facility, typically at a desk in a cubicle or in conference rooms, using an ERP system, Microsoft Office (including Excel), and other standard office tools. The role involves regular computer-based work, data entry, and communication via email and phone with vendors and internal teams. When walking through certain areas of the manufacturing facility, the noise level may be higher than in the office area, and employees may need to be aware of typical industrial activity and follow standard safety practices. Pay and BenefitsThe pay range for this position is $22.00 - $26.00/hr.
