Job Summary
The Property Manager supports and assists in the management of residential real estate, focusing on tenant satisfaction, property operations, and compliance with all city, state and/or local regulations.
This role involves day-to-day oversight of tenant relations, maintenance, and repair activities while supervising building staff, including superintendents, doormen, porters, and handypersons.
The Property Manager plays a key role in ensuring the smooth operation of the Properties and achieving company financial objectives.
Property Manager Job Description
Duties Include but are not limited to:
1. Manage Brokers and process of showing vacant apartments to prospective Residents. Work with leasing team to do the same, keeping open communication on units that are at various stages of completion and ultimately Move-in Ready
2. Assist in achieving company financial objectives by making sure:
a. Vacant apartments are ready to rent (requires working with and overseeing Superintendent, and onsite staff
b. Applicants have a favorable impression of company property and staff
c. Residents find the building staff and company support staff to be highly responsive to their needs
d. Annual operating and capital expenditure budgets are prepared, reviewed, and implemented accurately
e. Monthly financial performance is monitored against the budget, while identifying variances.
f. Invoices and contracts are reviewed and approved alongside budget allocations. Vendors and contractors provide cost-effective pricing without compromising quality.
3. Maintain resident satisfaction by investigating issues and bringing them to a satisfactory resolution in a timely manner, while directing onsite team to do the same
4. Manage all maintenance and repair work, schedule and coordinate vendor work, including obtaining quotes from vendors. Manage confirmation and completion of work, in coordination with Superintendent
5. Manage duties of all field staff by working closely with Superintendent, including overseeing scheduling, staff timecards and clocked hours
6. Negotiate all service contracts, including bidding, managing building contracts and ensuring that suppliers/service providers are meeting contractual obligations (i.e., HVAC, elevator, landscaping, pest control, etc.)
7. Maintain property integrity through regular site visits and maintenance of all property systems including HVAC and Mechanical systems
8. Maintain order on the property by setting and maintaining property rules and regulations and diplomatically resolving issues when they occur
9. Thoroughly inspect property for safety issues and take immediate action where safety is compromised
10. On call 24/7 for emergencies to provide guidance and direction to onsite team and a physical presence as needed
11. Responsible for overseeing property arrears alongside Accounting Department. Including tracking arrears, sending arrears letters to the appropriate list of tenants, and reviewing and discussing the arrears report for potential referral to Legal. Overseeing eviction and collections
12. Document and record any Incident reports
13. Ensure the smooth operation of the building and compliance of NYC regulations as well as current and any new Local Laws, alongside Maintenance Department
a. Ensure the efficient and proper resolution of building violations, collaborating with the project coordination team and various vendors
b. Facilitating bank and insurance inspections
c. Completing insurance recommendations
14. Ensure compliance with all company policies and procedures
15. Hire, train, motivate, and evaluate work performance of Superintendents and building maintenance staff, in coordination with Superintendents
16. Actively seek ways in which to bring added value and satisfaction to all residents
17. Oversee amenity spaces
Qualified Candidates Will Have the Following Skills
Salary Range:
$60,000 to $125,000 per year
