Job Title: Project Administrator (Construction Office / Contract Compliance)
Job Description

This role serves as a Construction Office Administrator and Contract Compliance Coordinator supporting union construction projects. You will manage certified payroll, subcontractor compliance, accounts payable, and project documentation while working closely with leadership and the current office administrator. You will also be able to step in and fully backfill certified payroll and compliance responsibilities when needed, helping ensure that all projects meet government, union, and contract requirements.

Responsibilities

  • Prepare and submit certified payroll in full compliance with government and union requirements.
  • File certified payroll in systems such as LCPtracker and with agencies such as Labor & Industries, and distribute required reports.
  • Support union payroll processes and compliance activities, including E‑Verify coverage when needed.
  • Coordinate union-related requirements such as drug testing and screenings for project personnel.
  • Process accounts payable on scheduled cycles, such as the 10th and 25th of each month.
  • Review and process vendor and subcontractor invoices accurately and in a timely manner.
  • Verify that all required documentation, including lien waivers, is received and complete prior to releasing payments.
  • Load invoices into Field Materials or similar invoice management systems and export data to Sage when applicable.
  • Manage and maintain subcontractor paperwork, ensuring that all documentation is complete, current, and properly filed.
  • Track and organize signed subcontracts, certificates of insurance, certified payroll submissions, and lien waivers for each invoice.
  • Support DCMS reporting and compliance requirements for King County and other public or government entities.
  • Monitor and maintain subcontractor pre-qualifications and related compliance documentation.
  • File and organize project documentation and compliance records in an orderly and accessible manner.
  • Sort and manage shared inbox communications related to projects, accounts payable, and compliance issues.
  • Support reconciliation of company accounts such as fuel cards, credit cards, bank accounts, and telecom accounts (e.g., Voyager, VISA, Banner Bank, Verizon).
  • Provide general office administration support in coordination with ownership and project management.
  • Step in to backfill certified payroll and compliance responsibilities during absences or peak workload periods.
  • Contribute to accurate, on-time certified payroll and compliance filings and help ensure subcontractor files are fully compliant before invoices are paid.
  • Support project coordination and project administration activities as needed to keep field operations running smoothly.
Essential Skills
  • 2+ years of experience in an administrative role supporting construction, engineering, or field operations with a union contractor.
  • Prior experience working in a union contractor or union construction environment.
  • Hands-on experience with certified payroll processes and subcontract compliance requirements.
  • Practical understanding of government contract requirements, including DCMS reporting, lien waivers, certified payroll, and insurance tracking.
  • Strong experience with accounts payable, including processing invoices on defined cycles.
  • Demonstrated ability to review, process, and track vendor and subcontractor invoices accurately.
  • Experience managing subcontract billing documentation and related compliance records.
  • Ability to step in and fully backfill certified payroll and compliance responsibilities when needed.
  • Proficiency in construction administration, document control, and general administrative support.
  • Strong data entry skills with attention to detail and accuracy.
  • Experience with project coordination, project management support, and project administration in a construction setting.
Additional Skills & Qualifications
  • Experience assisting with certified payroll on federal projects, including subcontract billings, lien waivers, and accounts payable.
  • Exposure to compliance requirements on federal projects, such as prequalifications, verification of insurance certificates, and subcontract documentation compliance.
  • Experience using LCPtracker for certified payroll submissions.
  • Experience with Sage accounting software (preferred but not required).
  • Familiarity with Field Materials or similar invoice and materials management systems.
  • Background in construction office administration with a focus beyond pure payroll processing.
  • Interest in growing into a role with added responsibility around project management as the company continues to expand.
Work Environment

This position is based onsite at the main office in Tukwila, working primarily with ownership and project management. You will operate in a collaborative construction office environment that supports union field operations and electrical construction projects. The role is office-based, focused on computer work, documentation, and communication with internal teams and subcontractors, using systems such as LCPtracker, Sage, Field Materials, and standard office software. As part of a growing electrical contractor, you will work in a setting that offers opportunities to take on additional responsibilities and expand into project management support as you develop in the role.

This is a Contract to Hire position based out of Tukwila, WA.

Pay and Benefits

The pay range for this position is $25.00 - $30.00/hr.
