Role description:

The Project Administrator provides financial and administrative support to project teams, with a strong focus on profitability, project set‑up, and financial control. This role supports the successful delivery of projects by assisting with the establishment of projects and contracts, ongoing reforecasting activities in line with PMO and divisional guidelines, and day‑to‑day financial coordination.

Working closely with Project Managers and cross‑functional teams, the Project Administrator contributes to the delivery of individual project components or supports the execution of broader programs of work. The role requires strong collaboration and communication skills, the ability to manage scheduling and competing priorities, and the flexibility to perform effectively in a fast‑paced, deadline‑driven environment. Key attributes include a proactive approach to financial support, comfort working under pressure, adaptability to changing priorities, and a team‑oriented mindset focused on supporting project and business outcomes.

Role accountabilities:

  • Setting up Projects in line with Project Managers requirements.
  • Preparation and setting up of CLS records.
  • Reforecasting projects in line with Project Managers requirements.
  • Troubleshooting of inter-project time and expense transfers.
  • Checking and ensuring the correct revenue recognition (POC%, cost, revenues, WIP, backlog);
  • Interpret and clarify project results, deviations, underlying causes and corrective actions to be taken.
  • Monitor work in progress & unbilled receivables.
  • Maintaining forecast and actual project billing dates.
  • Ensuring projects are closed on the system in a timely manner.
  • Continue to challenge and initiate continuous process improvement.
  • Prepare and update process documentations in compliance with standard project accounting processes.
  • Communicating with the Project Managers/Project Team Members in the Region for any assigned tasks.
  • Preparing files or reports needed and attending Project Review meetings.
  • Provide assistance in generating and distributing draft invoices and/or credit memos to Project Team for review and approval
  • Ensure supporting documents are attached to the invoice per Project Managers requirements.
  • Performing other duties and responsibilities as required from time to time by your Team Lead/ Manager.

Qualifications, skills & experience:

  • Associates or Bachelor's degree in accountancy, Finance or equivalent relevant experience
  • 2 to 3 years of relevant working experience.
  • Experience with ERP Systems is required; (Oracle, SAP & Microsoft Dynamics)
  • Intermediate knowledge in Microsoft applications (Excel, Outlook, PowerPoint and Word) is required;
  • Good interpersonal skills with a customer service focus;
  • Strong analytical and problem-solving skills.
  • Results oriented.
  • Proactive and a committed team player.
  • Can work under pressure and minimal supervision.
  • Can work on flexible hours to meet changing work environment and to meet tight deadlines.
  • Experience working with and managing contracts preferred
  • Detail oriented with proficient ability to detect errors and inconsistencies.

Actual salaries will vary and are based on several factors, such as experience, education, budget, internal equity, project and location.
