PROGRAM ASSISTANT 

JOB DESCRIPTION 

TITLE: ECDC Program Assistant 

JOB SPECIFICATIONS: The ECDC Program Assistant is an hourly full time position 

ESSENTIAL JOB QUALIFICATIONS: 

21 years of age 

Must possess an Associate Degree (Bachelor's Degree preferred) 

Previous experience working with children 

Physically able to lift 40 pounds 

Capable of meeting the physical demands of supervising and supporting children 

Capable of supervising children at all times: seeing and hearing children both indoors & outdoors 

Successful completion of pediatric First Aid Training, Universal Precautions and 

Annual Pediatric CPR 

Pass physical exam upon hire and annually receive a negative intradermal TB test 

Pass criminal history check 

Pass drug test upon hire and subsequent random drug testing 

Basic Job Function: The Program Assistant is responsible for general office duties coupled with child related first aid and ill child supervision including, but not limited to: 

1. Answer the telephone, directing calls to appropriate staff and taking messages 

2. Meet and greet families and all visitors as they arrive and depart daily from ECDC 

3. Respond to questions and requests from parents, teachers and college students 

4. Prepare and distribute correspondence (e.g., parent letters, signs, daily communication, tour reminders, welcome packets, etc.) 

5. Assist with the registration process, specifically directing families to the ECDC website for registration and enrollment materials, receiving registration forms, recording registration information, and updating Procare 

6. Prepare and distribute Enrollment Action Notices 

7. Recordkeeping to meet licensing regulations and accreditation standards, including but not limited to preparing children allergy lists, photo permission list, sunscreen/insect repellent and restricted pickup lists for ECDC staff and teachers 

8. Maintain children’s files to meet licensing regulations and accreditation standards, including immunization records, health information, medical plan, emergency contact information and general information as needed 

9. Maintain paper and electronic files 

10. Provide pediatric first aid, dispensing physician ordered medication and supervision of ill children as needed 

11. Maintain inventory of basic supplies, and office supplies; purchase educational materials, basic supplies (e.g., gloves, ice packs, bee sting kits, bandaids), office supplies (e.g., pens, paper, toner, etc.), and office equipment as needed 

12. Receive all donations and acknowledge all donations with a donation thank you letter that includes the ECDC tax identification information for tax purposes 

13. Assist with ECDC fundraisers, including but not limited to Holiday Wish Lists, Restaurants, Scholastic Book Fair, Football Parking 

14. Assist the Program Director with individual and class pictures/photos, vision screenings, and speech and hearing screenings 

15. In collaboration and as needed with the ECDC Program Director, schedule volunteers 

16. Open and process the ECDC mail daily 

17. Sign for and distribute UPS/Fed Ex packages 

18. Purchase snacks and basic supplies from local stores as needed 

19. Join an activity room as needed for coverage purposes due to teacher absences 

20. Prepare snacks and assist with lunch set-up and serving/clean-up as needed, including the washing of dishes 

21. Work cooperatively with ECDC staff and parents in providing young children with early childhood experiences which promote social, emotional, physical, creative and cognitive development 

22. Record/document children’s absences 

23. Submit work orders to the University as needed 

24. Maintain current information on bulletin boards 

25. Launder ECDC items (e.g., blankets, extra clothes, etc.) weekly or as needed 

26. Other tasks as assigned by the Executive Director and Program Director


SUPERVISION – The Program Assistant works under the supervision of the ECDC Executive Director, the Program Director and the Assistant Program Director. 

QUALIFICATIONS: 

a) Education: A Program Assistant at the Early Childhood Development Center must possess an Associate Degree (Bachelor Degree preferred), Pediatric First Aid Training and Pediatric CPR. 

b) Experience: A Program Assistant at the Early Childhood Development Center must possess clerical experience including keyboarding and computer experience, typing, filing, recordkeeping, purchasing and receptionist duties. Knowledge of Microsoft Office, Google Docs/Sheets and telephone protocol required. Duties require professional verbal and written communication skills. This is normally acquired through one to three years of clerical experience.
