Position Summary

We are seeking a Production Coordinator to manage end-to-end apparel production from development handoff through bulk production and delivery. This role is highly focused on order execution, timeline management, and daily communication with overseas factories to ensure on-time delivery of quality goods in alignment with company margin and customer requirements.


Key Responsibilities


Production & Timeline Management

  • Track and manage all production stages from pre-production through final delivery (WIP, in-transit, and completed orders)
  • Maintain and update T&A calendars to ensure adherence to key milestones
  • Monitor delivery schedules and proactively identify risks to on-time shipment


Order Placement & Management

  • Create and send order detail sheets to Dhaka or Shanghai offices in Excel format, including order details (quantity, size ratio or pre-pack, pricing), packing instructions, and packaging requirements
  • Ensure accuracy of purchase orders and oversee execution from placement through shipment
  • Review vendor guides from retailers and maintain up-to-date customer packaging requirements


Packaging & Ticketing

  • Order price tickets from customer-nominated suppliers
  • Review and approve care labels, hangtags, and packaging components including carton markings and polybag stickers
  • Partner with design and suppliers to set up new labels and update requirements based on licensor changes


Sample & Approval Coordination

  • Manage and track all sample stages (proto, fit, PP, TOP, ad samples)
  • Ensure timely approvals for fabrics, trims, lab dips, strike-offs, and packaging
  • Maintain accurate approval logs and reporting for each style


Vendor & Factory Communication

  • Communicate daily with overseas factories and vendors regarding production status
  • Ensure factories have the most up-to-date tech packs and specifications
  • Follow up on outstanding issues and drive timely resolution


Cross-Functional Collaboration

  • Partner with Design, Technical Design, Merchandising, and Sales teams to ensure accurate execution
  • Coordinate handoff from development to production and ensure alignment on all product details
  • Support accuracy of purchase orders, size scales, labeling, and customer requirements


Data & Reporting

  • Maintain Excel WIP reports, production trackers, and approval logs
  • Update systems including Blue Cherry, Datametrics, and internal trackers with current production status
  • Analyze production data to flag delays, quality risks, or cost issues


Quality & Issue Resolution

  • Identify and escalate quality or technical issues with factories and mills
  • Assist in troubleshooting production challenges and implementing solutions
  • Ensure compliance with company standards and customer requirements


Qualifications & Core Competencies


  • Bachelor’s degree preferred
  • 2 to 5 years of experience in apparel production or sourcing
  • Hands-on experience managing production orders and working directly with overseas factories is required
  • Strong knowledge of garment construction, fabrics, trims, and production processes
  • Experience managing multiple production orders across timelines simultaneously
  • Familiarity with T&A calendars, WIP management, and production tracking tools
  • Proficiency in Excel and experience with systems such as PLM, Blue Cherry, or Datametrics
  • Experience working with major retail accounts such as TJX, Burlington, BJ’s, or Costco is a plus

65k - 70k annual salary- Based on Experience
