The Manager of Practice Administration is responsible for the efficient daily operations of assigned offices. Reporting to the Director of Practice Operations, the Practice Administrator is responsible for hiring and supervising support staff, oversees day- to -day practice operations including maintenance of medical records, human resource management, property and facilities, equipment, billing and adheres to OSHA, JCAHO and DOH requirements. The Manager of Practice Administration will perform all job functions in a courteous and professional manner consistent with the St. Peter’s Health Partner’s Core Values.
Essential Functions
Collaborates and communicates effectively with Directors, Managers, and others and participate positively and proactively on operations and management committees.
Works closely with administration, serves as liaison between administration and physicians.
Oversees all aspects of daily operations-front desk, scheduling, hospital/surgical support, call billing and clinical support.
Ensures patient flow efficiency, access and optimization.
Monitors KPI’s –patient volumes, no show rates, provider productivity.
Oversees billing aspects including copay collection, past due balance, coding and compliance.
Strategic planning partner with providers to develop growth strategies, expansion, new technologies, monitor trends.
Works closely with office management staff.
Coordinates and communicates schedule changes to physicians, managers and administration.
Works closely with administration, serves as liaison between administration and physicians.
Serves as liaison between physicians and all other departments as required to meet operating needs.
Works in a collaborative/team approach with Providers to ensure their needs are met.
Provides human resource management services for covered sites including but not limited to:
Recruitment, orientation and support.
Address performance and/or behavior issues appropriately.
Complete annual performance evaluations.
Involve the human resources department appropriately in employee relations issues.
Coach, counsel and support employees and lead by example.
Provides back up in the absence of other St Peter’s Health Partners Medical Associates management personnel.
Works closely with administration, finance, human resources, and compliance/QA to communicate and execute practice-wide policies and procedures.
Attends and participates in all required physician and management meetings and training sessions.
Works closely with finance regarding monthly financial statements and site financial performance.
Serves as a resource for physicians and staff with regard to EMR and EPM systems.
Maintains patient confidentiality and adhere to HIPAA regulations as appropriate.
Works cooperatively with all team members to ensure quality service at all times.
Communicates respectfully and effectively with providers, clinical staff, colleagues, management staff and others.
Performs mandatory in-service training including but not limited to OSHA and harassment. Maintains a clean and safe work environment.
Performs other duties as assigned.
Minimum Qualifications
Associates degree.
Minimum of 5 years management experience the medical field.
Proficiency with Electronic Medical Record.
Proficiency with Microsoft Office.
Excellent attention to detail and organization.
Effective speaking and writing skills.
Commitment to confidentiality and respect.
Demonstrated ability to handle multiple priorities in a deadline-driven environment.
Understand and embrace a customer service focus.
Demonstrated ability to work independently, yet function collaboratively within a team.
Pay Range: $39.45 - $59.20
Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location.
