What You'll Do

The Payroll Specialist will provide support under a shared services model. As part of a team, this role will help ensure payroll and other related processes run smoothly and efficiently. The Specialist will assist in the preparation of weekly payroll processing with our third-party provider. This role will also respond to team member inquiries related to payroll and timekeeping. The Specialist must be able to multi-task and juggle competing priorities in our busy department. Specific duties may include:

Payroll & Timekeeping Responsibilities

  • Act as liaison with payroll partner ensuring the timely processing of weekly and bi-weekly payrolls; serve as backup to Sr. Payroll Specialist
  • Review timecards prior to payroll processing to ensure accurate pay; import timecard information
  • Run weekly Workday reports in preparation for payroll processing
  • Review computed wages and taxes to ensure the accuracy of earnings
  • Process timely manual payments as needed
  • Work within the Workday and Tamigo timekeeping platforms
  • Collaborate with the team to develop, improve, and document payroll and timekeeping processes to ensure compliance and operational efficiency
  • Partner with other locations to gain a full understanding of local practices and business needs; build strong working relationships
  • Research and resolve payroll processing issues in a timely manner; proactively analyze root causes and recommend preventative solutions
  • Assist with payroll tax related issues, including researching and resolving tax agency notices

HR Shared Services Responsibilities

  • Respond in a timely manner to team member questions via the internal ticketing system, email, etc.
  • Possess a broad knowledge of payroll, timekeeping, and general payroll related topics to effectively address inquiries and provide guidance
  • Demonstrate initiative in researching and resolving new or complex inquiries

What We're Looking For

Candidates possessing a bachelor’s degree in business or related field preferred; equivalent combination of education and experience will be considered. We are seeking an individual with 3+ years experience processing full cycle, multi-state payroll along with prior experience working with timekeeping systems (Workday).

Candidates should demonstrate a strong customer service attitude, and exceptional attention to detail & commitment to accuracy. Other qualifications include:

  • Full cycle, end to end payroll processing
  • Hands-on experience and demonstrated expertise in HCM systems, ADP Smart Compliance, ADP Enterprise (EV5 or EV6), ADP Reporting, Workday
  • Knowledge and understanding of payroll laws, payroll tax, and wage garnishments
  • Proactive, hands-on approach with the ability to identify process improvements and efficiency opportunities
  • Ability to manage multiple and/or changing priorities and meet deadlines in a fast-paced environment
  • Excellent verbal and written communications skills; ability to communicate and work effectively with team members across the region - a professional, positive attitude is a must
  • Proven experience handing sensitive and confidential information
  • Flexible, adaptable, and eager to learn
  • Proficiency in MS Office and a demonstrated technical aptitude
  • Ability to work standard 9:00 to 5:00 hours to ensure coverage for the region
  • Flexibility to work on-site in Downtown Chicago office, 1-2 times a week and/or as needed
  • General HR experience on topics such as benefits, retirement plans and best practices is a plus
  • FPC and/or CPP certification preferred

A reasonable estimate of the pay range is $34.00-38.00 per hour at the time of this posting. Within the range, individual pay is determined by factors such as job-related skills, relevant experience, education, and/or training.Please note that the range reflects the base pay only and does not include our competitive bonus program.
