The HT Group is partering with a IP Law Firm to hire a Patent Coordinator II to support the patent prosecution team. In this role, you’ll handle U.S. patent filings, manage dockets, and serve as a key partner to attorneys—ensuring deadlines are met and processes run smoothly. This is a great opportunity for someone who is detail-oriented, proactive, and comfortable working in a fast-paced IP environment.
What You’ll Do
Prepare and file U.S. patent applications and prosecution documents under attorney guidance
Draft and manage key documents such as Assignments, Declarations, and Information Disclosure Statements (IDS)
Coordinate inventor communications and collect required signatures and documentation
Monitor and manage docket deadlines to ensure timely filings and responses
Review USPTO correspondence and filing receipts; request corrections as needed
Support new matter intake for existing clients
Act as a liaison between attorneys, clients, and foreign associates
Conduct patent and prior art searches as needed
Generate reports and maintain accurate records in IP management systems
Assist legal teams with administrative processes and workflow efficiency
What We’re Looking For
3+ years of experience in intellectual property or patent prosecution support required
Strong understanding of U.S. patent processes and USPTO procedures
Familiarity with foreign filing basics (PCT, national phase, etc.)
Experience with docketing and document management systems
Proficiency in Microsoft Office and IP-related software tools
Excellent organizational skills with the ability to manage multiple deadlines
Strong communication skills and attention to detail
Nice to Have
Bachelor’s degree or IP Paralegal certification
Experience working with foreign associates or international filings
