Operations Support Specialist (Financial Advisory)

We are seeking a detail-oriented, proactive professional to support new business processing and ongoing client service across both investment and insurance sectors. This individual will play a critical role in keeping our systems, client data, workflows, and communications running smoothly, efficiently, and professionally.
This role is ideal for someone with financial services experience who thrives on being a critical team member in a successful financial advisory practice, reporting to the Advisor. The hire will enjoy serving clients, and taking pride in accuracy, responsiveness, and follow-through.
Primary Responsibilities
New Business Processing
- Submit new applications (financial plans, insurance, and investments) accurately and In Good Order (IGO)
- Complete forms and request signatures through digital platforms
- Track pending business and proactively follow up with vendors, custodians, carriers, and clients
- Confirm client transfers, allocations, and submitted business have posted correctly
- Maintain tracking workflows for submitted business, pending items, and next steps
Client Service
- Respond promptly and professionally to client inquiries and service requests
- Process service requests including distributions, beneficiary changes, address updates, wires, journals, EFT transfers, checks, and Required Minimum Distributions (RMDs)
- Serve as a first point of contact for basic client technology questions regarding the client portal, document sharing, and other firm technologies
- Document client interactions in CRM and maintain organized electronic files
Client Meeting Support
- Prepare materials for client review meetings, including agendas, reports, and follow-up items
- Attend meetings as needed for administrative support, note-taking, and documentation
- Assist with follow-up on action items after meetings
Scheduling
- Proactively coordinate client review appointments
- Manage scheduling requests and calendar coordination for the financial advisor
General Administration
- Assist with mail, phones, scanning, and document management
- Provide general administrative support to the team as needed
Key Outcomes & Expectations
- New business applications submitted In Good Order
- Application follow-up and tracking
- CRM entries and task updates completed within 24 hours
- Year-end service goals (e.g., RMDs, tax delivery) executed by Q4 deadlines
- Contribute to streamlined processes and continuous operational improvement
- Deliver exceptional service and professionalism to clients and team members
Qualifications
- Outgoing, friendly, customer-service-oriented personality
- Comfortable interacting with high-net-worth clients and representing the firm with professionalism.
- 5+ years of experience in financial services, wealth management, or insurance operations
- Strong attention to detail and organizational skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite and CRM tools
- Ability to manage, prioritize, and meet deadlines in a fast-paced environment
- Works well in a collaborative small-team environment
- Maintains professionalism, composure, and focus when faced with competing priorities and tight deadlines
- Experience with custodial platforms such as National Financial Services, LLC ,Fidelity, Schwab.
- Active Series 6 required; Series 63, 65, preferred.
- Bachelor’s degree required
