Operations Coordinator – Customer Service & Shipping

Role Description

We are seeking a detail-oriented and organized Order Management & Shipping Coordinator to support end-to-end order processing, production coordination, and shipping operations.

This role serves as a key liaison between Customer Service, Production, Warehouse, and Shipping teams to ensure accurate order fulfillment and timely delivery of goods.


Key Responsibilities

  • Respond to customer inquiries via email in a timely and professional manner
  • Allocate and process customer orders accurately in the A2000 system
  • Collaborate with Production teams in Asia to ensure timely delivery of products
  • Update and maintain stock and sold inventory records
  • Input production shipment data into the system upon receipt of invoices, ensuring accuracy of all information
  • Follow up with Production teams regarding TOP sample submission schedules to customers
  • Coordinate with warehouse teams for pick and pack operations
  • Route customer orders and prepare shipping documents, including Commercial Invoices, Packing Lists, and related export documents for key accounts (Burlington, Bealls, Macy’s, Boscov, Marine, TK, Cracker Barrel, TJ Maxx)
  • Follow up with Shipping team/carriers for pick-up and delivery schedules
  • Generate invoices and send documentation via email and/or EDI to customers


Qualifications

  • 2+ years of experience in order processing, customer service, shipping, or operations coordination preferred
  • Experience with ERP systems (A2000 experience is a plus)
  • Strong attention to detail and accuracy in data entry and documentation
  • Ability to manage multiple priorities in a fast-paced environment
  • Excellent communication and coordination skills across internal and external teams
  • Proficient in Microsoft Office (Excel, Outlook, Word)
  • Experience with EDI and wholesale retail accounts is a plus
