Our client, a law firm in lower Manhattan focusing on commercial litigation, M&A, real estate, and other areas, is seeking an organized and detail-oriented Office Manager to oversee the firm’s administrative, financial, and operational functions. This role is critical to the smooth day-to-day running of the office and will work closely with firm leadership, attorneys, and external vendors. The ideal candidate is proactive, financially savvy, and comfortable managing multiple priorities in a professional services environment.
Key Responsibilities
Financial & Accounting Operations
- Manage firm bank accounts, including reconciliations and financial reporting
- Oversee Accounts Receivable and Accounts Payable, including reporting and client follow-up
- Track and manage office expenses and credit card activity, including categorization and reporting
- Perform bookkeeping functions, including tracking monthly financials and preparing reports related to revenue, expenses, and employee productivity (with external support available)
- Manage rent payments and serve as the primary point of contact with the landlord regarding office-related issues
- Oversee payroll processing and ensure timely and accurate payroll execution
- Manage benefits administration, including medical, dental, 401(k), and other employee benefits
- Handle IOLTA and other bank accounts, including trust account ledger maintenance and deposits
Timekeeping & Billing Support
- Collect time entries from partners, of counsel, and associates
- Enter and manage timekeeping data within the firm’s billing system
- Assist with client onboarding, including entering engagement agreement information into billing systems
Office & Administrative Management
- Manage and oversee the receptionist and front-office administrative functions
- Ensure smooth office operations, including supplies, catering, scheduling, and list management
- Manage tenant and subtenant relationships, including communications and monthly rent collections
Human Resources & People Operations
- Coordinate hiring and termination processes, including onboarding new hires and removing terminated employees from HR and payroll systems
- Maintain employee records and support general HR administrative needs
Qualifications
- Proven experience as an Office Manager, Operations Manager, or similar role, preferably in a professional services or legal environment
- Strong understanding of financial management, bookkeeping, payroll, and benefits administration
- Experience with AR/AP, timekeeping, and billing systems
- Excellent organizational skills with strong attention to detail
- Ability to manage confidential and sensitive information with discretion
- Strong communication skills and the ability to work independently
- Proficiency with accounting, HR, and office management software
Work Environment & Benefits
- Hybrid schedule with a preference for 3 or more days per week in the office (flexibility available based on experience and circumstances)
- Competitive salary range of $105,000–$120,000, plus performance-based bonus
